General Description:
The Community Engagement Coordinator’s primary focus will be building a dynamic community of supporters through the agency’s volunteer program and outreach. The Community Engagement Coordinator will be responsible for coordinating the agency’s volunteer programs (individual volunteers, groups and CREW men’s auxiliary), speaking on behalf of the agency at community events and fairs, and managing the annual Adopt-A-Family holiday program.
This position requires a highly organized, detail-oriented, creative and motivated individual to serve as a public facing member of our fundraising team. This individual will work directly with members of the community (both individuals and companies) to raise awareness and support for SafeHaven.
Essential Duties and Responsibilities:
Volunteer Program Responsibilities
- Recruit, screen (interview) and match interested volunteers (individual and group) with appropriate SafeHaven opportunities. Ensuring that appropriate volunteers are matched to appropriate volunteer needs ensuring volunteers have positive experience and staff are supported.
- Refine and execute volunteer training program that orients volunteers to SafeHaven’s structure, mission, operational procedures and the specifics of a volunteer’s assignments and other opportunities for service.
- Interface with SafeHaven staff and partners to develop innovative and appropriate opportunities for volunteer services that best supplement staff and partner agency expertise and resources.
- Staff and support group volunteer experiences at the shelters.
- Seek out and maintain corporate and group volunteer opportunities.
- Manage the agency’s men’s auxiliary – CREW
- Manage shelter meals both provided and served by the community including soliciting meals as needed, coordinating dates and meal with the kitchen manager, processing background checks, ensuring the donor(s) have proper information, rules and guidelines, provide the donor with up-to-date shelter numbers.
- Manage occasional and ongoing large in-kind and volunteer based partnerships including but not limited to processing background checks, coordinating logistics and serving as the liaison between the community partner and staff/clients.
- Maintain positive relationship with current volunteers, seek opportunities to further develop relationships culminating in more invested volunteers.
- Provides ongoing support to volunteers.
- Serves as the liaison between volunteers and staff.
- Maintains an on-going, accurate, list of available agency volunteer job descriptions and special project needs for potential volunteers.
- Responsible for data entry of all volunteer information including (but not limited to) background checks, interests, and service hours each month.
- Provide a comprehensive report on volunteer hours by the last day of the month.
- Provide support for the Development Intern as applicable.
Community Engagement:
- Create community support through presentations and agency tours.
- Coordinate and present at community fair requests.
- Build and maintain corporate and community partnerships with a focus on group volunteer opportunities.
- Support the VP of Development in identifying community partners who could grow into monetary donors. Reviewing pipeline of current and prospective community partners to identify possible crossover and collaboration in weekly meeting.
Adopt-A-Family:
- Manage SafeHaven’s annual Adopt-A-Family Program which includes but is not limited to the following:
- Solicit and secure a location to operate the collection and pick up of Adopt-A-Family gifts.
- Build a positive working rapport with the housing department and work with them to obtain and finalize family profiles in a timely manner.
- Work with donors and community partners to adopt each family and client profile.
- Match profiles to community donors appropriately.
- Manage the collection, checking and distribution of completed Adopt-A-Family gifts.
- Work with the housing department to ensure all gifts and items are picked up by the deadline.
General Development:
- Provide friendly, donor-centered customer service when responding to inquiries from existing and prospective volunteers/donors.
- Maintain up to date and accurate information in the donor database including communication with volunteers, donors and prospective donors, updated contact information, areas of interest, relationship links, and any additional information that will help ensure proper communication and stewardship is provided to all constituents.
- Maintain close productive working relationship with development department and program staff, as necessary.
- Attend and support agency events.
- Must be able to work a flexible schedule, which includes days, evenings and occasional weekends.
- Respects the confidentiality of all constituents.
- Other duties as assigned.
Other Duties:
In accordance with the team philosophy of the agency, will routinely be required to carry out or assist with other tasks in addition to the activities listed above, as assigned by supervisor. Must act in accordance with the agency’s mission statement and goals.
Qualifications:
Bachelor’s degree strongly preferred
Minimum of 2 years of applicable work experience, nonprofit experience preferred
Experience working with volunteers preferred
Ability to confidently and professionally speak in both small and large group settings
Ability to establish rapport when meeting new people
Experience with donor database software, preferred
Goal and task oriented – work towards achieving the development department’s strategic goals
Ability to follow directions and complete tasks effectively and accurately in a timely manner
Dedication, flexibility, attention to detail and creativity is a must
Big picture thinker – able to strategically plan for future
Personal computer proficiency required, including Word, Excel and Outlook
Ability to multitask, prioritize and meet deadlines
Self-motivated – able to determine necessary tasks to finish goals
Ability to work a flexible schedule including some evenings and weekends
Frequent travel locally by personal automobile
Sensitivity to the issue of domestic violence
Frequent walking and standing
