Description
SAIC has a full-time position opening for a highly self-motivated Program Administrative Assistant to join our team of qualified, diverse individuals. The Administrative Assistant will provide administrative support for the National Center for Critical Information Processing and Storage (NCCIPS) program senior leadership team and the project management functions in support of the NCCIPSv2 Contract. This position will be located on-site (not remote) at Stennis Space Center in Mississippi.
The NCCIPS Facility is a 200,000 sq. ft. secure facility situated on a 64-acre campus within NASA Stennis Space Center in southern Mississippi. The facility is a federal shared services facility which provides facilities support to meet the requirements of multiple federal agency data centers. NCCIPS is managed by SAIC under an on-going federal contract with NASA under the management of the NASA Shared Services Center (NSSC).
Job Description:
- Perform critical, recurring administrative functions for the program.
- Establish and maintain tracking for action items, and follow-up on items assigned by management.
- Schedule and facilitate program-related meetings, develop internal and external related meeting agendas and minutes.
- Assume initiative in answering questions or providing response within the team, with customers, or vendors.
- Prepare high-level presentations, compose routine correspondence, and prepare reports using Microsoft Word, Excel and PowerPoint, and other software applications.
- Coordinate with departments as required to compile inputs for weekly or monthly deliverables or other reports as required by the contract or as assigned.
- Maintain local personnel records to include contact information and program organization chart.
- Plan, schedule, coordinate, and oversee selected programs, events, and meetings involving staff, vendors, Government customers and visitors (including VIPs).
- Manage inventory and request procurement of office supplies, as necessary.
- Manage Conference Room Reservations and setup of conference room equipment, as required.
- Maintain program schedules as tasked, using MS Outlook, or other tools as required.
- Coordinate with vendors/manufacturers to obtain necessary compliance paperwork for all applicable procurements throughout the procurement phases.
- Coordinate with vendors to provide documentation or information as required to document all security requirements outlined by the agency and by the federal government requirements.
- Prepare proper documentation and coordinate with NASA to receive approval for procurement plans prior to submission.
- Coordinate employee in and out-processing actions as required for new or departing employees as required by SAIC, the contract and NASA.
- Perform as the program interface with new or departing employees, both SAIC and subcontractor.
Qualifications
Required Education:
- High school diploma or GED.
Required Skills/Experience:
- Excellent command of the English language with strong verbal and written communication skills
- Excellent proficiency with Microsoft Office suite of software (Word, Excel, PowerPoint, Outlook)
- Detail Orientated with strong attention to detail.
- Eagerness to learn new IT systems and tools in which the tasks are performed, including but not limited to SharePoint, Microsoft Power BI, Microsoft Power Automate, Microsoft Project and Teams, and the tools developed in these systems.
- Self-motivated to take on responsibilities and actions and follow them through completion.
- Ability to interact well in small or large groups and represent the company and program in a highly professional manner.
- Ability to coordinate the activities of a large workforce in a complex organization.
Required Education:
- High School and five (5) years or more related experience.
- Associate or bachelor’s degree can be used towards experience requirements:
Additional Desired Skills/Qualifications:
- Proven experience supporting a large technical program team.
- Experience having worked on-site with a government customer.
- Proficiency in use of SharePoint, Microsoft Project, and Microsoft Power BI.
- Experience having worked on or with NASA programs.
- Strong interpersonal skills and ability to provide outstanding customer service to internal and external customers.
Other Requirements:
- US Citizenship is required.
- Must be able to obtain a DOD Interim Secret clearance prior to employment. Continued employment is contingent that the employee obtains and maintains a full Secret clearance within a reasonable amount of time
