GENERAL STATEMENT OF DUTIES: The administrative assistance collaborates in the effective operation of a Catholic education program by supporting the goals and spirit of Catholic education in general and performs the general roles and responsibilities as described below.

ESSENTIAL FUNCTIONS/MAJOR RESPONSIBILITIES: (The essential functions/major responsibilities listed are intended only as illustrations of the various types of work that may be performed. An administrative assistant is expected to have competencies in the following major areas.

II. General Administrative Duties

  • Performs general customer service duties including, but not limited to, answering phones and emails in a professional and courteous manner
  • Responsible for emailing and updating the monthly calendar and sending out weekly News Notes
  • Attendance tracking and updating
  • Student records upkeep, including immunization tracking and reporting, report card editing and emailing
  • Supply ordering for staff and teachers
  • Curriculum ordering
  • Yearly updating of school records (academic calendar, supply lists, tuition rate sheet, volunteer packets)

II. Technology Competency

  • Knows and uses technology appropriately
  • Proficiency in Microsoft Word and Google platforms
  • Proficiency in Facts Communication System and CMG Connect (training provided, if needed)
  • Updating computer logins for all staff
  • Easy CBM Upkeep (training provided, if needed)

III. Billing/Accounts Management

  • Works cooperatively with administration and finance director on finance matters
  • Submit and process weekly school deposits
  • Assist with accounts payables and receivables (monthly billing for lunch and aftercare)

IV. OTHER RESPONSIBILITIES

  • Maintains teacher’s lounge and supply room upkeep
  • Provides for first aid assistance for students (logging, parent communication, medical records upkeep with regards to allergies and medications)
  • Assists with Principal, Development, PSF, and Lunch staff as needed

MINIMUM QUALIFICATIONS

School office experience is preferred. All candidates must be able to pass a background check. Professional attire is required.

PHYSICAL REQUIREMENTS

While performing the duties of this job, the employee is required to stand, walk, talk, reach, sit, hear, handle, and perform repetitive motions of the hands/wrists. May need to climb stairs and lift, carry, push and/or pull items up to 50 pounds. Must be able to respond effectively to emergency situations.

WORKING ENVIRONMENT

Work is usually performed in the school within the time frame. Staff is occasionally required to attend evening meetings and may oversee field trips and other special events. In addition, faculty/staff will attend any in-service or professional development meetings deemed necessary by the administration.

SALARY AND BENEFITS

Pay: Any offered salary is determined based on internal salary ranges, market data, applicant’s skills and prior relevant experience, degrees and certifications.

School tuition discount: All full-time employees are eligible for a tuition discount of 50% for any child enrolled in the school.
