What are the responsibilities and job description for the Accountant/Purchasing Agent position at Saint Paul's School?
Position Purpose:
Administer all purchase orders, invoices, check processing, budget accounting practices, earlycare and aftercare billing, and other duties as listed below.
Essential Functions
- Manage all aspects of the Accounts Payable cycle, including annual preparation of 1099 forms and fiscal year-end audit procedures
- Orders all student supplies for all levels of the school during the summer for each school year
- Track capital expenditures, and provide appropriate supporting schedules to the Director of Finance and Operations.
- Track budgets by department and review for appropriate expenditures prior to processing invoices
- Complete various monthly reconciliations (Afterschool, summer camp, healthcare deductions, trips and other general ledger accounts)
- Coordinate bus transportation for all school field trips
- Assists with payroll, lunch program
- Researches pricing for all orders and acquires the lowest prices
- Enters journal entries monthly for sales of the following areas: Knight bites, spirit store, Take Five and lunch program
- Reconciles the accounts within the Vanco system
- Maintains the vendors with in the Paymerang system
- Assists with the filing of the 990 and Agreed upon procedures
- Reconciles state funded students account
- Files sales tax quarterly
- Assists the Director of Finance and Operations to prepare for Finance Committee and Board meetings
- Occasionally will create daily cash sheets and bank deposits
- Other duties as assigned
Qualifications
- Undergraduate required
- 3 years of experience in accounts payable, with knowledge of accounting principles
- Experience in an Independent School or College setting a plus
- Proficiency in Microsoft Word
- 10-key by touch
- Proficiency in Google and Google drive
- Advanced knowledge of Excel
- Familiarity with Paymerang and Veracross software preferred
- Proficiency in placing orders and researching via the Internet
- Knowledge of non-profit accounting preferred
- Ability to work effectively with minimal supervision, multi-task, and manage a varied workload
- Superior communication, organizational, and interpersonal skills
- Excellent verbal and written communications skills.
- Demonstrated skilled customer service
Physical Requirements and Work Environment
- Works in a highly stressful environment dealing with a wide variety of challenges, deadlines and a varied and diverse array of contacts.
- May work at a desk and computer for extended periods of time.
- May be walking or standing for multiple hours of the day.
- Work primarily in a traditional climate controlled office environment.
- Work intermittently in outside weather conditions, including extreme heat and cold.
Job Type: Full-time
Pay: $17.50 - $21.50 per hour
