Job Purpose: 

Our next Campus Services Manager will be responsible for contributing to an organization’s success by overseeing the access and use of building space, equipment, and resources. This position will manage campus activities to ensure that the safety, functionality, and comfort of the Wellpoint Capitol Campus meets the needs of employees, clients, and guests on the premises.

 

Duties:

  • Oversee day-to-day campus space and office management activities as main point of contact, including the operation of the front desk, the mailroom and call-routing.
  • Designs and implements campus space and usage policies by establishing standards and procedures, measuring results against standards, and making necessary adjustments/improvements.
  • Oversees centralized purchasing to ensure efficient, equitable ordering and cost containment. 
  • Manages relationships with vendors, service providers, and customers ensuring that all transactions are invoiced and paid on time.
  • Achieves financial objectives by managing an annual budget. 
  • Oversees the acquisition, distribution, and storage of company supplies and shared support services such as mailing, printing, and copying, security. 
  • Serves as the administrative owner of Crisis Management.
  • Leads the Wellpoint Safety Committee, which includes ensuring compliance with campus safety policies and procedures as well as related laws and regulations.
  • Assist with on-boarding of new employees by educating new employees on campus space and services policies and procedures.
  • Oversees execution of internal meeting requests, scheduling, and space/room setup.
  • Communicates campus activities to employees and key stakeholders on a regular, consistent basis.
  • Coordinates all facility bookings and rentals, special event coordination, and vendor coordination.
  • Meets with assigned staff regularly to identify and resolve problems, manage projects, track goals, and review work processes and procedures. 
  • Represents team and/or department at meetings, events, and learning as needed.

 

 

Qualifications: 

  • High school diploma or equivalent required; Associate degree preferred.
  • Minimum of two (2) years of office management experience required; experience in a community-facing non-profit or educational setting preferred.
  • Supervisory experience in a work environment required.
  • Experience creating and enforcing operational policies and procedures for an organization required. 
  • Must be familiar with standard business operations and facilities management practices.
  • Excellent interpersonal and customer service skills to include ability to interact effectively with people from diverse backgrounds.
  • Ability to respond to problems and to assist employees, clients, and guests with a calm, courteous, and helpful manner, and attitude. 
  • Strong internal and external verbal and written communication skills.
  • Demonstrates ability to work independently and effectively with staff, clients, caregivers, and purchasers.
  • Communicates clearly and tactfully, displays energy and enthusiasm, motivates others to embrace and utilize a trauma-informed approach and advance their OT awareness.
  • Must be honest, dependable, and able to meet deadlines; Self-motivated and able to work independently.
  •  Valid driver's license with an acceptable driving record, reliable transportation, and meet agency auto insurance requirements.
  • Regular travel in personal vehicles is required with the ability to move intermittently throughout the workday.
  • Ability to demonstrate critical thinking skills, detail oriented, highly effective verbal, and written communication skills.
  • Demonstrate an ability to effective understanding and practice of cultural humility and ability work and communicate respectfully with individuals from diverse backgrounds.
  • Proficient in the usage of computer software; demonstrate an understanding of computer file systems and databases, e.g., Microsoft Office, Excel, Outlook, Teams, ADP, etc.

 

Position Details & Extras:

  • Full time.
  • Hybrid on-site/remote work is available with reliable broadband connection.
  • Fast paced, flexible work schedule includes evenings and some weekends to accommodate program needs.
  • Moderate exposure to noise.
  • Subject to frequent interruptions with ability to manage multiple tasks simultaneously.
  • Demonstrates an understanding of the cultural differences among diverse groups and the need to adapt service provision to match these differences in respectful ways.
  •  Public Service Loan Forgiveness (PSLF) - Wellpoint employees may be eligible for loan forgiveness under the Public Service Loan Forgiveness program. 
  • Interaction with personnel, clients, family members, visitors, volunteers, interns, and vendors under all conditions and circumstances. 
  • Physical exam, drug screen, motor vehicle report, and background checks are required for this position.
