GENERAL POSITION OVERVIEW:
  • The Federal Construction Office Coordinator will provide administrative assistance to project team(s) to ensure compliance with established internal processes and procedures.
  • Expected to work with minimal instruction or supervision.
  • Will provide support to field staff, Project Managers and other team members as needed to support the project(s) on site.
  • Duties will include administrative procedures consistent with the guidelines set forth in the contracts and providing support to project managers and all open projects.

EXAMPLES OF ESSENTIAL DUTIES:
  • Assist Project Manager(s) with scheduling, logistics, planning, and facility security clearance.
  • Maintain project documents, including keeping detailed logs of reported delays due to weather/scheduling/incidents, etc.
  • Monitor and maintain attendance log and report to Human Resources on a regular basis whenever attendance/tardiness incidents may occur.
  • Assist with scheduling of labor personnel and resources in conjunction with the Construction Projects Coordinator at the home office.
  • Assist with coordination of delivery of material and supplies to job site. 
  • Attend Owner and project meetings and provide copies of documentation to attendees; assist Project Coordinator with development of meeting minutes as may be needed.
  • Communicate and collaborate with project team at the home office for schedule changes.
  • Coordinate equipment and inventory inspections and maintenance (including field trucks) with Operations Administrator at the home office.
  • Communicate and collaborate with project team at the home office for schedule changes.
  • Assist Project Manager(s) with prime contract closeout requirements as needed.
  • Responsible for coordinating with the Finance Department for gathering and submittal of receipts, expense reports, credit card requests, expense reimbursement requests, etc.; shall also oversee use of company fuel cards, credit cards, supply accounts and/or petty cash
  • Submit Sales Tax Exempt forms when needed for all tax-exempt projects.
  • Comply with and enforce all governmental laws, policies and regulations.
  • Ensure that all company policies and procedures are adhered to by you.
  • All other duties assigned by management.

MINIMUM QUALIFICATIONS AND REQUIREMENTS:
  • High School graduation or an acceptable equivalent diploma and vocational training are required. Bachelor’s Degree preferred.
  • A comparable amount of training and experience may be substituted for the minimum qualifications.

KNOWLEDGE, SKILLS, AND ABILITIES:
  • Highly organized and attention to detail.
  • Excellent written and verbal communications skills.
  • Ability to read, analyze, and interpret general business and technical procedures or governmental regulations.
  • Ability to write reports, professional business correspondence, and effectively present business information via oral reports.
  • Must be able to work as a part of a team with Project Managers and Director of Construction Services to oversee the daily management, coordination, supervision and successful completion of construction projects. 

PHYSICAL REQUIREMENTS:
  • Must have the use of sensory skills to effectively communicate and interact with other employees and customers by telephone and personal contact as normally defined by the ability to see, read, talk, hear, handle, or feel objects and controls.
  • Physical capability to effectively use and operate various items of office related equipment, such as, but not limited to a personal computer, calculator, copier, and fax machine.
  • Significant standing, walking, moving, climbing, carrying, bending, kneeling, reaching, crawling, and handling, sitting, pushing, and pulling.
  • The employee may occasionally lift and/ or move up to 40 pounds.

SPECIAL REQUIREMENTS:
  • Possession of a valid, appropriate state driver’s license preferable and an acceptable driving record.
  • Pre-employment drug screen and physical required.
