Job Summary: Processes and coordinates requests for medical information from the medical staff, insurance companies, patients, state and federal review agencies, and various Saratoga Hospital departments including but not limited to Patient Accounts, Quality Support Services and Care Management in accordance with legal guidelines and established polices/procedures. This position serves as the primary customer service center for the Health Information Services Department answering all incoming telephone calls and greeting customers that present to the department.
Primary Job Responsibilities
Associates Degree in healthcare, or related field. Or a high school diploma/GED and currently enrolled or in progress to complete an Associate degree in health information management or related field. Minimum of three years experience preferred in a medical record department. Medical terminology required. Graduate from Health Information Program or RHIT preferred.
Salary Range: $16.72 - $27.45
Pay Grade: 17

Primary Job Responsibilities
- Process incoming correspondence (mail) to the HIS Department, to include verification of proper authorization with each request, routing requests appropriately to the correspondence vendor
- Answers all incoming telephone calls to the HIS Department demonstrating customer service excellence
- Greet all internal and external customers of the HIS Department providing excellent customer service to all contacts
- Maintaining an accurate complete accounting of disclosures in the computerized tracking system
- Collaborate with the Care Management Department staff to provide the necessary patient information for transfer patients to ensure continuity of care
- Ensure that all requests for records containing federal and state protected information are processed in accordance with departmental policy/procedure and federal/state laws
- Complies and adheres to all HIPAA regulations
- Coordinates requests for patient information involving multiple departments/sources (ie:imaging) to enable patients ease of access to their health information
- Communicate effectively with the incomplete record room staff to notify providers of records to be completed in order to comply with a request for release of patient information
