CLIENT RELATIONS & INTAKE SPECIALIST/LEGAL ASSISTANT
POSITION DESCRIPTION:
As the primary point of contact for our clients, the Client Relations Specialist will play a critical role in building and maintaining positive relationships with our client base. The Client Relations Specialist will work closely with attorneys, paralegals, and other team members to ensure that clients receive the best service possible.
Our ideal client relations specialist will handle each call with as much compassion and kindness as possible.
RESPONSIBILITIES:
- Communicate with potential clients from their first contact with Sarji Law Firm. This includes answering and managing incoming calls and emails from current and potential clients, providing them with excellent customer service and addressing their concerns in a timely manner.
- Maintain call logs of potential clients, follow up with potential clients, and call former clients to continue cultivating relationships with them.
- Act as a liaison between clients and attorneys to facilitate clear communication and ensure client needs are met.
- Schedule consultations with potential clients and ensure that they are prepared for their appointments, including sending intake forms, following up on completion, and verifying payment prior to initial consultations
- Assist attorneys and paralegals with client intake and case management, including opening and closing files in our case management system, sending opening and closing letters, working with attorneys to gather responses to discovery requests, organizing digital client files, calendaring deadlines and hearings, and generally providing support to paralegals, attorneys, and other team members as requested.
- Open files, manage the welcome process and conduct quality control checks at predetermined milestones during the first 30 days and in some cases, during the pendency of the matter.
- A successful candidate should have some “real life” experience which they can use to empathize with potential new clients (PNC’s) who often come to our firm with challenging and sometimes deeply personal situations.
- A successful candidate embraces metrics, score keeping, transparency and accountability.
- Excellent interpersonal and communication skills are an absolute must both in person, by phone and via email.
- You should be a lifelong learner with proven track record of self-improvement to keep your sales skills sharp, and a willingness to learn.
- Keep detailed notes in a centralized database.
- Be a team player and help our firm help our prospective new clients find clarity around and relief from the situation that brought them to the firm in the first place.
- Follow-up with potential new clients who said “no”.
- Follow-up with current clients at set milestones during their case or matter.
- Actively engage in dialogue with Owner regarding the quality and volume of the leads, offering constructive feedback and suggestions for improvement based on your “front line” experience.
- Update CRM system with details of all interactions with prospects and clients in a timely manner
EDUCATION & EXPERIENCE:
- Independent, self-starter who thrives on immersion in a rapidly changing environment and excellent problem-solving and analytical skills.
- Proactive, can-do attitude, with great follow-through and resourcefulness along with attention to detail.
- Strong communication and interpersonal skills with the ability to be personable, yet persistent.
- Knowledge of the legal industry is an asset, but not an absolute requirement
- Experience overcoming a major obstacle in life and making an important change in your life so you know at your core that others can do it too, is a plus.
- Client services, concierge services, sales, or marketing background is an asset to this position.
- Computer skills are essential for this position.
JOB REQUIREMENTS:
This is a full-time job where you are expected to manage a volume of calls, leads, and assist with legal work, so you absolutely must be able to work for 40 hours per week.
This position can be fully remote, hybrid, or in person, depending on the candidate’s preferences, though some travel to the office in Charleston may be necessary.
You must be a team player who is willing to assist legal staff by performing legal drafting duties to include correspondence and pleadings.
Compensation:
- Compensation range: $35,000 - $40,000
- Quarterly bonus structure
- 8 paid federal holidays
- Eligible for up to 2 weeks of PTO after the first 6 months
- Medical insurance stipend after 90 days
