Property Manager
Job Title and Overview
The Property Manager job responsibilities include rent collection, rent increases, ensuring compliance with lease agreements and regulatory requirements across all properties, reporting, addressing tenant concerns and other job functions as described below.
Rent Collection
Enters rent collection into the system daily and records bank deposits accurately.
Enters subsidy remittance bi-monthly.
Reviewing of Rent Roll frequently to ensure knowledge of property collection performance.
Creating and delivering 3-day notices on the 10th of the month and recording 3-day fees if applicable.
Coordinates eviction proceedings in cases of unpaid rent and follow up on court dates as needed.
Rent Increases
Tracks rent increases and issues notices to residents as least 60 days in advance.
Submits notices to housing authorities and other subsidy providers.
Works with maintenance to organize preventive maintenance inspections and addresses lease violations prior to renewal.
Resident Notices and Request
Timely entry of resident notices such as notices to vacate into AppFolio and subsequent updates.
Processing of transfers request, reasonable accommodation, and VAWA requests in conjunction with Compliance.
Sending move out checklist and other applicable resident material.
Conducting move out inspections with residents after they’ve fully vacated, per their request.
Entering resident work orders upon receipt or forwarding request.
Compliance with Lease Agreements and Regulatory Requirements
Issuance of lease violations and diligent follow-up to ensure compliance.
Implementation of non-renewals or 3-day to 30-day notices to vacate in accordance with SRMC’s policy and procedures, coordinating with attorneys when necessary.
Reporting of any regulatory issues to Compliance.
Frequent site visits to assess curb appeal.
Resident Customer Service
Answers resident phone calls; responds to emails and voicemails within 24 hours of receipt.
Answers questions regarding rent charges, fees, and maintenance chargebacks as applicable.
Provides customer service addressing all other questions and/or concerns.
Helps residents with navigation of AppFolio resident portal upon necessary.
Pest Management
Enters pest management work orders when received from residents
Creates notices for door tags and prep tags for Maintenance Tech delivery
Corresponding with pest management regarding updates and approving treatments
Updates Work Orders with tech notes from treatment correspondences
Monitors for lease violations and issues as necessary.
Record Keeping and Reporting
Property Manager should keep accurate and up to date reporting of all resident notices stored in AppFolio.
Property Management Professionals should provide the following reporting to the Director of Property Management on the 10th and 21st of each month as applicable:
Vacancy Report
Deliquency Report
Upcoming renewals 60 days prior to lease expiration with previous rental rate and new rental rate
Generation of monthly or quarterly reports tailored to stakeholders' needs and participation in special reporting as required.
Use of Software and Integrations
Property Manager should actively utilize the provided software to enhance their effectiveness and are required to keep data up to date to provide seamless integrations and to participate in keeping platforms up to date and best employed.
Property Managers are required to participate in the use of Sawmill Road Management Companies multiple platform and integrations.
New Construction (if applicable)
Prompt entry of new properties into the system upon receipt of keys from construction.
Ensuring correct listing of rental rates.
Handling Emergencies and Crisis Management
Property Manager may be needed in cases of emergencies and crisis management to help resident communication and accommodations.
Property Managers are required to complete Incident Reports for emergencies, crisis incidents and all other situation in which an Incident Report may be required in conjunction with SRMC’s policies and procedures.
Office Responsibilities
Greets residents as they come into the office - offers superb customer service.
Keeps resident conference room neat and organized.
Keeps files organized neatly and accurately.
