Responsibilities
- Efficiently and accurately perform secretarial work for the Head Start Management and Administrative Team including but not limited to: word processing, typing, filing, answering phones, greeting visitors, scheduling appointments, and ordering supplies, conducting mailings and run errands.
- Responsible for reception at the Main Program Center and answering all calls on a multi-line phone system with a customer friendly manner, forwarding all calls accurately and taking accurate messages. This includes receipt and distribution in an appropriate manner all incoming and outgoing faxes. Make a daily mail run to the agency Main Office dispersing inter-office mail to appropriate person.
- Process and track Enrollment Applications, using technology to efficiently and accurately complete this task in a timely manner.
- Systematize, organize and maintain accurately and efficiently all required records, files, reports, client data and mailing lists.
- Provide technical computer support to all staff efficiently and effectively.
- Follow-up on routine or needed maintenance on all office equipment in a timely manner.
Qualifications
Requirements
- Associates Degree in Business, Secretarial Science or related field, or demonstrated office management experience.
- Demonstrated written and verbal communication skills.
- Computer literacy required including the use of technology that creates efficient systems. Experience with Microsoft Office Products required.
- Must display a commitment to team approach problem solving and be willing to work a flexible schedule as requested.
- Display a customer friendly approach to parents, staff and community and proficiently answer a multi-line phone system.
- Knowledge and understanding of issues related to individuals and families in poverty. Ability to build upon the strengths of those we serve with diverse racial, cultural, social, educational and economic backgrounds, including high risk populations, to provide high-level services and lasting solutions to fit each individuals and family's needs.
- Must provide on a biennial basis a physical from a licensed health care provider, clearing you under New York State Day Care regulations.
- Background check is required prior to employment as required by NYS Day Care regulations and Federal Head Start Performance Standards.
