Description
As a Travel and Event Coordinator, this person shall be a member of the Administration Team. The Administration Team will work together to coordinate events, assist in travel arrangements for guests and employees, and provide general administrative assistance
Responsibilities:
• Provide general administrative assistance to management
• Answer and route telephone calls as secondary switchboard operator
• Identify most suitable as well as best quality service with most reasonable rates.
• Coordinate, supervise and implement every aspect of travel arrangements for staff, executives and guests
• Book flights, hotel reservations, car rentals etc. for company travelers and guests, including making any changes that might occur
• Ensure to confirm availability plus convey tentative itinerary to respective traveler for approval
• Resolve travel related technical conflicts
• Leads in the organization and coordination of employee, guest and company events, as well as provide any support needed during the event
• Organize and handle all intercompany guests visits, including scheduling and ordering of meals and arranging transportation
• Schedule, organize and maintain conference rooms, including scheduling and ordering of meals
• Review travel associated invoices as well as statements for accuracy
• Research and resolve all incorrect charges with respected to entire travel program
• Schedule, organize and monitor use and maintenance of company vehicles
• Electronic and paper filing
• Handle special projects assigned by management

Requirements
• Must be organized
• High attention to detail
• Effective communicator – verbally and written
• Must be able to problem solve
• 3 – 5 year’s experience required in a travel agency or event planning environment
