Basic Job Function:
Manage the responsibilities of the Cloister dock, retail sales and recreation bookings. Focus on initiating contact with group leaders to encourage and promote engaging in recreational activities. Serve as the leader for all coordinators within the Outdoor Pursuits team. Uphold and ensure compliance with all company and departmental policies and procedures.
Minimum Requirements:
Minimum one (1) years experience on the local waterways
Excellent Communication skills, both written and verbal
Proficient in Windows XP and Microsoft Office software applications such as: Word, Excel, and Outlook
Proficient with peripherals, copier, fax, telephone, and calculator

Tasks/Responsibilities:
Open and close facility as needed
Maintain proper housekeeping on dock and office area
Assist scheduling fishing trips and boating charters
Assist in monitoring overall inventory levels of merchandise, restock when needed
Assist with physical inventories
Ensure all merchandise is correctly tagged and priced
Assist in selling merchandise and customer service
Learn the names and personally recognize our regular Guests and Members
Assist with daily retail sales as needed
Run checkbook accounts, monitor payroll, and assist in forecasting revenue.
Assist with daily close-out procedures and delivery of reports and cash to revenue control
Provide informative sales presentations to meeting and site planners
Keep an accurate account of upcoming and past Sales Department site and planning visits involving recreation and provide diligent follow-up
Be available during busy periods to greet guests and explain CEC services
Act as a liaison between the CEC and all staff-related positions within the company to provide CEC program information
Ensure the appropriate materials are available for package guest, i.e. gifts, brochures, etc.
Cross train with Recreation Coordinators to be able to assist with desk and reservations operations when needed
Follow through with all conference/sales group booking and billing instructions that come through the Recreation department and contact each department in a timely manner
Maintain detailed and thorough files on each group in a functional filing system that allows any team member easy access to booking and billing information
Maintain month by month calendar of upcoming groups and events
Be available for meeting planners upon their arrival at Sea Island
Schedule days off on/around group arrivals
Work cooperatively with Director of Outdoor Pursuits and Director of Recreation
Attend pre-con meetings and resume meetings to ensure thorough follow through with group business
Follow through with all conference/sales group bookings within 24 hours upon receipt of requests
Serve as a liaison for Recreation and Conference Service/Sales for scheduling recreation appointments
Cultivate positive relationships with group leaders and internal contacts.
Be available for site inspections, trips and other meetings as requested with planners
Maintain a thorough knowledge of current guest services, activities, dining options, shops, local attractions, and historical information regarding Sea Island and the surrounding area to answer any questions guests may have to the best of one’s ability
If applicable, complete a Guest Problem Resolutions (GPR) form on any issues (solved or unsolved issues) and follow-up on issues as needed (if computer access is not available give information to admin support)
Uphold appropriate departmental standards of quality/timing
Uphold and ensure compliance with all company and departmental policies and procedures
Report all equipment problems and maintenance issues, known safety hazards, or unsafe practices and procedures to supervisor immediately
Attends all scheduled employee meetings and brings suggestions for improvement
Willing and timely execution of other duties as delegated by leadership
Physical Requirements:
Ability to kneel, crouch, squat, climb, stand, sit, balance, reach, bend, push, pull and walk for prolonged periods
Basic swimming abilities required
Ability to effectively operate basic computer systems
Ability to work simple math calculations
Must have the ability to work for extended time periods in an outdoor environment, including sun, heat, cold, wind, rain, and higher than normal noise levels
Ability to lift, carry, pull and push up to 50 lbs. repeatedly throughout a shift
Ability to read, write and communicate effectively in English, both written and verbal
May be exposed to mechanical, electrical, chemical and fume hazards
Maintain compliance with Company Resort Professional Image Policy
