Performs a variety of specialized office functions and administrative work in support of the Sheriff’s Office. Responsible for sensitive and specialized information involving the exercise of some independence in the conduct of standard duties. Performs duties as a technical clerk or typist or independent work involving significant procedure and sequence. Provides criminal information, reports and documents by telephone and/or in person and maintains related records that are unique to the law enforcement environment. Process criminal case paperwork to include data entry in the FBI National Crime Information Computer (NCIC) network, warrants, and Protection from Abuse/Stalking orders. May serve as lead worker to other clerical employees.
Records Duties
Apply knowledge of the computer-aided dispatch (CAD) and Kansas Incident Based Reporting System to research case numbers, call history, calls for service for the Sheriff’s Office as well as other agencies within Sedgwick County
Apply knowledge of the Kansas Incident Based Reporting System (KIBRS), to complete tasks including extensive coding of reports
Routinely validate NCIC entries to include all missing persons, stolen property and weapons
Process, validate, and enter warrants and orders into the appropriate records systems
Continually assist in developing the Interwatch: the departmental communication of appropriate cases generated each day within the entire department
Complete driver’s record checks as directed and enter traffic citation written by deputies within the department
Perform records checks and background research when requested from field personnel including external agencies
Create mug lineups
Construct case jackets for every case generated throughout the department
Provide fingerprint information as requested
Internal and External Customer Service
Receives payments from the public regarding the department’s services; posts payments and verifies receipts
Answer, screen, and route department telephone calls to appropriate destination; greet and reply in person, by telephone, or by correspondence to inquiries from visitors and callers; supply general information on departmental procedures and/or legal requirements
Complete case desk reports over the phone with citizens and complete related forms
Process insurance requests by researching the appropriate case jacket, redacting information as required by law, copy the file, and prepare the documents to be provided and paid for by the requestor
Use a two-way radio for communications of pertinent information to deputies in the field including knowledge of appropriate radio codes and other related information.
Clerical and Administrative Duties
Create, update, and distribute reports, records, letters, and other documents using established procedures
Type reports, taped interviews, and search warrants for cases and investigations to assist field personnel
Prepare and send notification letters regarding all vehicles impounded by field personnel
Complete Data entry and verification for departmental cases
Minimum Qualifications: High school diploma or equivalent. One year of experience in an administrative or clerical setting. One year of experience with Microsoft Suite. Must obtain NCIC certification within six months of hire. If selected, candidates will be required to pass pre-employment testing of 80% reading comprehension to be completed after interview.
Preferred Qualifications: Associate’s degree in Business Administration, Public Service, or a related field. More than one year of experience in an administrative or clerical setting. Formal NCIC training.
