Job Description
Position Title: Customer Service Specialist
Reports To: Supply Chain & Customer Service Manager
Department: Sales Administration
I. Primary Responsibilities: Serving as an integral link between a company and its customer base, providing customer service and support via telephone and e-mail, processing and verifying orders, responding to customer questions.
II. Essential Functions:
- Create and maintain customer maintenance records.
- Handle communications from customers and vendors (status of open purchase orders, RFQs, expedite requests, lead time …)
- Receive and verify purchase orders (terms, revision #, new & existing projects…)
- Enter purchase orders and releases.
- Create new part numbers/records.
- Create shop orders and attend shop order meetings.
- Reconfirm order/release dates.
- Send order acknowledgments.
- Respond to customer questions regarding order acknowledgements.
- Review open order report by customer, date range or part number.
- Review backlog report and participate in shipping meetings.
- Create shipping worksheets.
- Review and send invoices.
- Post shipments, review worksheets, close lines, close orders…
- Create and maintain special internal reports for key accounts.
- Actively follow up with customers for orders and forecasts
- Assist and maintain access to customer portals.
- General Customer Service Functions.
- Prepare sales reports as needed.
- Performs other related duties as assigned or requested.
III. Qualifications and Requirements:
- Strong customer focus & attention to details
- 3 years of similar/applicable work experience
- Requirements: Highly developed sense of integrity and commitment to customer satisfaction.
- Ability to communicate clearly and professionally, both verbally and in writing.
- Must have the ability to work independently.
- Proficient in MS Office
- Proven organizational and time management skills with the ability to multi-task and prioritize
IV. Environmental Conditions:
Administrative office environment. Most of your work will be in the office area. Occasionally, you will be in the manufacturing environment with noise, and heavy-duty equipment.
