Job Title: Receptionist (Concierge)

Department: Administration

FLSA Status: Full-time or Part-Time, Hourly / Non-Exempt

Reports To: Business Office Manager / Executive Director

Purpose:

To maintain the front desk area with an attitude of customer service, and to help create a positive first impression of the community, ensuring that residents, families, guests, and telephone callers are addressed promptly and treated in a courteous and friendly manner.

Minimum Eligibility Requirements:

  • High school diploma or equivalent required
  • Previous experience in a receptionist or customer service role
  • Previous experience in a senior living environment preferred
  • Must possess strong interpersonal communication skills
  • Proficiency in basic computer skills, including Word and Excel
  • Ability to read, comprehend, write, and speak English to communicate effectively with residents, families, guests and other team members
  • Must be detail oriented and possess strong organizational skills
  • Must meet all health-related requirements pertaining to State licensure
  • Must maintain current CPR/First Aid credentials
  • Must maintain current Food Handlers credentials
  • Must maintain annual Continuing Education Credits
  • Must be able to perform duties and responsibilities (Essential Job Functions) with or without reasonable accommodation
  • Subject to pre-employment screening including physical, drug and TB testing and criminal clearance

Essential Functions:

Front Desk Reception

  • Answers the telephone promptly and addresses caller questions in a courteous and professional manner
  • Takes accurate and thorough telephone messages or directs the caller to the appropriate voicemail as requested to do so
  • Greets and interacts with residents, family members, guests, and team members in a friendly and positive manner and directs them to the appropriate person or location, as necessary
  • Responds to emergency calls from residents and alerts appropriate team members in a timely manner

Marketing

  • Responds to inquiry calls from prospective residents in a timely and professional manner
  • Creates a positive first impression of the community by maintaining a neat and tidy reception area and presenting self in a professional manner in terms of conduct and appearance
  • Conducts community marketing tours as needed

Administrative

  • Assists with projects and reports to support department directors as needed, and at the direction of the Business Office Manager
  • Assists with meal service in the dining area as needed
  • Responsible for locking the community at the determined hour in the evening

Other

  • Attends all required team member meetings and in-service training sessions
  • Upholds Residents’ Rights as defined by state regulations and by Lenity Management’ policy, at all times
  • Supports and upholds all other Lenity Management policies, and the service philosophy
  • Reliable and Predictable Attendance
  • Other duties as assigned

Working Conditions (travel, hours, and environment):

  • Must be able to work full-time or part-time as agreed upon, on assigned shift, including weekend and holiday rotations

Strength: Sedentary (S), according to the Classification of Jobs (COJ), involves the ability to exert 1 to 10 pounds of force occasionally, 0 (zero) pounds of force frequently, and greater than 0 (zero) pounds of force constantly, to move objects.

Stand: Occasional standing and walking, approximately one hour per shift. Work surfaces are carpeting and linoleum.

Walk: See "stand"

Sit: Constant sitting for most of the work day using a counter level surface and an office chair.

Lift: Occasionally lift deliveries for residents weighing no more than five to 10 pounds and potentially carrying these items for up to 100 feet at a time.

Carry: See "lift"

Push: Intermittent pushing and pulling to open/close doors and drawers may be necessary.

Pull: See "push"

Controls: Intermittent use of the hand controls on the telephone, headset, computer, public announcement system.

Climb: Climbing stairs and ladders is not a requirement of this position.

Balance: Balance is required within normal limits to perform the standing, walking, sitting, etc. in this position.

Bend/Stoop: Rare bending may be used when retrieving dropped items from drawers.

Crouch: Not a requirement of this position.

Twist: Not a requirement of this position.

Kneel: Not a requirement of this position.

Crawl: Not a requirement of this position.

Handle/Grasp: Frequent handling and grasping when writing messages.

Fine Manipulation/Fingering: Occasional to frequent fingering will be used when typing.

Feeling: Within normal limits to use hands in job tasks, grasping objects, feeling computer keys to depress, etc.

Reach: Occasional reaching above shoulder height when directing visitors to a location or distributing mail. Occasionally reaching below shoulder height when retrieving supplies.

Vision: Normal to correctable vision is constantly required when monitoring the outgoing and incoming visitors and residents.

Talk/Hear: The ability to speak and hear is constantly required when communicating with others and when communicating with residents and visitors.

Taste/Smell: Not a requirement of this position.

Environmental Factors: Inside air conditioned environment.

Work Environment Access: Access to restroom, breakroom and parking.
