Scheduling Coordinator

The Scheduling Coordinator’s primary role is to ensure the appropriate hiring and scheduling of staff to effectively and efficiently provide the authorized hours for every person served. The Scheduling Coordinator is responsible for identifying and scheduling new hire training (classroom and observations) of appropriate clinical staff for new and existing cases. The Scheduling Coordinator develops and maintains schedules for all direct service staff with a focus on filling voids for all clients and full-time staff.

Responsibilities:

  • Ensures CRT services are staffed with receipt of authorization and participant availability
  • Completes ongoing recruitment tasks, such as placing ads, attending job fairs, and tracking timelines and costs
  • Confirms that the proper credentials, training, and the required criminal checks are obtained and filed appropriately
  • Develops and maintains therapy schedules to provide persons served with the full amount of allotted services in a timely manner
  • Informs Clinical Coordinators of progress with filling staffing needs
  • Fills staffing voids for all individuals served and for all full-time staff
  • Leads weekly Staffing Meeting to share updates with Clinical Supervisors, the Referral Team and Directors on staffing needs and actions
  • Analyzes the authorized vs. scheduled hours in the MITC system to ensure efficient and complete utilization of authorized hours on a case-by-case and aggregate basis
  • New Hire Training- Schedules orientations, observations, and training for clinical staff
  • The Staffing team works collaboratively to recruit, train and schedule therapists. As such, the duties described above may be assigned to others on the team to ensure swift completion

Experience Required:

The Scheduling Coordinator must possess 2-3 years of experience in an office setting, providing administrative services. The Scheduling Coordinator has strong communication, technology and organizational skills. The Scheduling Coordinator is fluent in excel and has advanced computer skills.
