This position’s requirements are inclusive of, but not limited to, the following:
Duties/Responsibilities:
- Provides high-level administrative support and assistance to the Managing Principal and/or other assigned leadership team members.
- Maintains strict confidentiality in matters involving Principals, Officers, and Firm Governance.
- Maintains comprehensive and accurate records.
- Manages license and certification renewals for Managing Principal.
- Screens and prioritizes phone calls.
- Manages and maintains calendar, including scheduling appointments and prioritizing sensitive matters.
- Processes expense reports and performs minor accounting duties, as necessary.
- Manages and completes timesheet for Managing Principal, on-time.
- Organizes meetings, including sending reminders and arranges catering, as necessary.
- Prepares statistical reports, complex spreadsheets, and routine correspondence.
- Records minutes of meetings and prepares all related documentation.
- Schedules and attends meetings on behalf of Managing Principal, taking notes and recording minutes.
- Communicates effectively with clients and business associates in the absence of the Managing Principal.
- Welcomes visitors and identifies the purpose of their visit before directing them to the appropriate department.
- Arranges conference calls.
- Drafts executive correspondence with minimal supervision.
- Assists with the preparation of quarterly briefings.
- Reads and analyzes incoming mail and other documents to determine their importance, prioritizes then distributes and files accordingly.
- Prepares responses to correspondence containing routine inquiries.
- Performs clerical and administrative tasks including drafting emails, memos, reports, and other documents for leadership team.
- Arranges travel and accommodations for Managing Principal and/or other assigned leadership team members.
- Provides travel and conference support, as necessary.
- Performs office tasks for the Managing Principal including maintaining records, ordering supplies, and performing basic bookkeeping.
- Assists with administrative functions when necessary and performs additional duties as determined by Managing Principal and/or other assigned leadership team members.
Required Skills/Abilities:
- Excellent verbal and written communication skills.
- Must possess excellent organizational and planning skills.
- Must possess excellent attention to detail and accuracy.
- Excellent time management skills with a proven ability to meet deadlines.
- Ability to function well in a high-paced and at times stressful environment.
- Extensive knowledge of office administration, clerical procedures, and recordkeeping systems.
- Must have excellent computer skills and an in-depth knowledge of relevant software, such as, MS Office Suite, and ADOBE.
Education and Experience:
- High school diploma required, Bachelor’s degree in Business Administration or related field preferred.
- Must have a minimum of 3 years of experience providing support at a high level.
