Job Description

The Senior Coordinator, Operations Support assists with all activities in the accounts payable and receivable, invoicing, procurement, and administrative operations support functions. They ensure timely payments of vendor invoices and expense vouchers and maintain accurate records and control reports. The Senior Coordinator makes sure that project/department milestones/goals are met, and approved budgets are being followed.

Job Functions

  • Part of the Operational Support Team that prepares, records, verifies, analyzes and reports accounts payable/receivable transactions.
  • Pays vendor invoices and receives and posts customer payments on a timely basis.
  • Enters time for billable field employees.
  • Maintains and reconciles accounts payable/receivable ledger accounts, financial statements, and reports.
  • Prepares, analyses, and performs reconciliations of bill runs to detect fraud.
  • Ensures that transaction entry verification procedures are followed.
  • Prepares and delivers the low-volume customer billing and responds to resulting queries.
  • Participates in collection activities such as sending follow-up inquiries, negotiating with past due accounts, and referring accounts for collection.
  • Recommends improvements to accounts payable/receivable processes.
  • Identifies, enhances, and follows specific processes and procedures to maximize the efficiencies of the business to which the support is being provided
  • Collaborates with corporate departments and with departments within Industrial business unit.
  • Provides leadership, guidance, and motivation, establishes employees' goals, conducts interviews, performance evaluations and coaching sessions; hires and trains new staff.
  • Maintains professional and technical knowledge by attending educational workshops; reviewing professional publications; establishing personal networks; benchmarking state-of-the-art practices; participating in professional societies.
  • Adheres to internal standards, policies, and procedures.
  • Performs other duties as assigned.

Qualifications

Education and Experience

  • Bachelor’s degree in Business Administration or a related discipline (Required)
  • 5-7 years of relevant experience (Required)

  • Excellent analytical, reasoning, and problem-solving skills (Required)
