Description

Sales Administrative Assistant

Duties:

  • Developing contracts based on information provided by the sales team.
  • Copy and distribute signed contracts.
  • Track Documents (ie. Credit cards, deposits, rooming lists, golf pairings, BEO signatures).
  • Calendar finalized groups
  • Phone back-up / messages
  • Pull reports
  • Contract follow ups
  • Tradeshow preparation (collateral stocked, package preparation, giveaway ordering)
  • Emailing the 10-day for caterings
  • Printing the 10-day BEO packages for Linda
  • HubSpot entry
  • Ensure customer files are on-line for accounting (contracts / beos/ shred credit card information)
  • Follow up on special services or amenity requests
  • Work with Linda and Dana on special event reservations and deposits
  • Block rooms / release blocks / cancel lost business
  • Keep activities lists up to date
  • Work with banquet manager to ensure rooms are ready prior to client arrival.
  • Additional ad hoc activities as identified.
  • Create and send out band contracts
  • Distribute Pop-Up / Revised BEOs to all departments.
  • Put together Pre-Conference packet / Booklet for clients when needed.
  • Assist with Bid binders (when required).
