What are the responsibilities and job description for the Administrative coordinator position at Sharp Services?

SUMMARY :

Works closely with Account Management to provide the department with administrative and clerical support in an efficient, timely and organized manner.

ESSENTIAL DUTIES AND RESPONSIBILITIES include the following. Other duties may be assigned.

Enters and maintains product sales orders, including maintenance of sales order due dates, quantities, pricing, shipping details, etc.

Creates and maintains price list in QAD for all commercial WIP / Finished Good item numbers. Ensures that either flat unit pricing or tiered pricing is updated per Account Management directive.

Manages all sales order exception reports. Utilizes reporting to follow-up diligently with Account Management to resolve exception issues.

Creates price quotations as directed including quotations for Inventory Destructions, Over-Time, Expedited Services, etc.

Submits to Account Manager for final review and send off.

Updates job jackets with final packaged quantities and pricing. Compiles and provides completed job jacket packets to Shipping and Logistics and / or Finance for processing.

Maintains QAD bulk delivery schedule (Supplier Schedules) as needed.

Creates Bill of Material documents, Order Confirmation letters and other business documents and forms for final review and send off by Account Manager.

Routes Change Control documents and other internal documents internally for review / approval.

Responsible for ensuring S&OP meeting invites, communication reminders and room bookings are completed prior to the meeting.

Assist in S&OP preparation, meeting minutes, post-meeting reporting and follow-up as directed.

Organizes customer visits as needed including booking rooms and coordinating lunches

Assist in creation of Sharp KPI scorecards for Account Managers as needed.

Perform other administrative functions in support of Account Management as required by the organization.

Some traveling is required between Allentown and Conshohocken sites to support administrative duties.

No supervisory responsibilities.

QUALIFICATIONS :

EDUCATION and / or EXPERIENCE :

Associate’s degree (B. S.) or at least three to five years related and documented experience in related area.

SKILLS :

  • Able to demonstrate a customer-centric attitude by building positive and collaborative working relationships with others and demonstrating and upbeat can-do attitude.
  • Ability to learn new tasks quickly and adapt to changes seamlessly working in a fast-paced environment
  • Excellent verbal and written communication skills.
  • Self-motivated and able to work with minimal supervision.
  • Ability to apply common sense and problem-solving skills to overcome obstacles and juggle through tasks.
  • Strong analytical skills preferred.
  • Ability to work in an organized manner managing time and balancing workload.

LANGUAGE SKILLS :

Ability to read and comprehend simple instructions, short correspondence, and memos. Ability to write simple correspondence.

Ability to effectively present information in one-on-one and small group situations to customers, clients, and other employees of the organization.

MATHEMATICAL SKILLS :

Ability to add and subtract two-digit numbers and to multiply and divide with 10's and 100's. Ability to perform these operations using units of American money and weight measurement, volume, and distance.

Ability to apply concepts such as fractions, percentages, ratio and proportions to practical situations.

REASONING ABILITY :

COMPUTER SKILLS :

At minimum, must possess an intermediate skill level in using Microsoft Office Suite, including Word and Excel, expert level preferred.

Familiar with ERP systems.

The employee must occasionally lift and / or move up to 10 pounds. Specific vision abilities required by this job include close vision, distance vision, color vision, peripheral vision, depth perception and ability to adjust focus.
