JOB SUMMARY:
Provide outstanding administrative assistance in all areas assigned within the building office. Contribute collaboratively to ensure support of building operations.
Administrative support duties related to finance/budget management, office operations, data systems use and management (e.g. staff absences/substitutes, managing money collections and deposits (food service, community partnerships, etc.), manage office equipment, in providing services for students and staff.
JOB RESPONSIBILITIES:
- Administrative Support to the Building Principal
- Provide secretarial assistance as necessary to building principal; in creation and distribution of letters to families and/or staff and personnel on behalf of the Principal with complete confidentiality
- Financial/Budget Support – support building budget processes including requisitions and purchase orders, process all invoices, payments and credit card transactions; manage supplies inventory; maintain postal meter with funds/supplies; collect technology self-insurance monies; manage end-user technology damage/repair data and payment collection
- Support the celebration of staff achievements/awards
- School year start up and year end activities
- Communications Support
- Prepare daily announcements for the building; Maintain building website pages; Coordinate and produce building newsletters on a monthly basis; Maintain in-house information boards; Assist daily with student/staff positive promotions
- Welcome visitors and answer office phones as appropriate
- Personnel Support
- Utilize Frontline Absence Management system to fill teacher, paraprofessional and aide absences with substitutes for the building; communicate substitute assignments as needed to other staff
- Assist with Workman's Comp processing including accident report and guidance; Maintain safety signage and emergency folders throughout building
- Maintain door key distribution and collection
- Operations Support
- Coordinate payment services for food service contractor; collect payments; enter in fee management; make deposits
- Work with copier/printer management company for repair services and purchase of supplies
- Maintain mail distribution
- Assist with special events for the school for students and/or staff
- High School and Middle School Unique Support for specific 12-month positions
- Athletics operations (e.g. event calendar management, financial functions, scheduling of athletics personnel; reports to athletic director(s)
- Guidance (student services) operations (e.g. work with guidance counselors in support of student services including scheduling, supports, partnership communications, etc.)
- Other Duties Assigned
- The above items are usually those of the 12-month secretary. Each building may have some minor adjustments depending on building needs.
Job Type: Full-time
