Position Purpose
The Shell USA Maintenance Excellence team is seeking an Administrative Assistant for the Shell Polymers Site in Monaca, Pennsylvania.
This role will anticipate anticipation of work requirements, perform with minimal supervision, and be innovative and able to prioritize in an ever-changing environment.
The incumbent will proactively deliver dependable, quality, organizational, administrative, and office management services, ensuring efficiency and continuity of operations within a dynamic working environment.
This opportunity will be a fundamental part on our Shell Polymers site which is previously known as the Shell Pennsylvania Chemicals Project, it was started-up in 2022 and Shell's entry into the Polyethylene performance chemicals market.
Shell Polymers is now a critical part of the Shell Chemical global portfolio and integral to the success of the overall business.
The role offers the opportunity to work in a fast-paced manufacturing environment, with a team of high motivated individuals, working with a newly constructed world class asset.
Accountabilities :
Provide administrative support for the MTAC and Engineering Department Leaders which includes managing calendars, travel arrangements, expense reporting, meeting arrangements and setup including Department Meetings, IT request needs;
assist as needed in preparing presentations (PowerPoint) and spreadsheets and charts (Microsoft Excel) when requested; at time captures meeting minutes.
- Provide proactive focal point responsibility for all general administrative matters.
- Support line management with staff movements including office space, on boarding, computers, etc.
- General office support including Document Control Coordination and Records Management / TRIM.
- List coordination - distribution lists, Site contact information and organization charts.
- Support Building needs as required - liaise with appropriate parties in Real Estate and IT for building maintenance and support, copiers, supplies, etc.
- Event management such as service anniversaries, retirements, group meetings and meals.
- Manage MTAC and Engineering Departments websites.
- Improve workplace safety and participate in organization of Health, Safety, Security, and Environment (HSSE) events, including posting and attending and monthly meetings.
- Be the first point of contact for department visitors and handle any arrangements for visitors from a wide variety of cultural backgrounds.
Ensure the visitor signs in and is shown the safety video prior to meeting their host. Provide them with the proper Personal Protective Equipment (PPE) prior to going out into the plant.
- Focal point for booking and managing conference rooms.
- Manage required bulletin board postings.
- Provide administrative support to LOD1 audit coordinator including scheduling meetings, taking notes, data entry into SONAR assurance database.
- Other administrative duties as assigned.
Requirements
- Must have legal authorization to work in the US on a full-time basis for anyone other than current employer.
- Minimum five (5) of related experience
- Proven ability to interact and maintain relationships at all levels.
- Proven experience working with confidential and sensitive HSSE matters.
- Ability to manage and support multiple reporting and compliance deadlines.
- Ability to work independently, identify priorities and manage workload.
- SharePoint and database / spreadsheet experience
- Ability to handle confidential and sensitive information in an appropriate manner.
- Ability to work independently and proactively without close supervision, while managing changing priorities
- Ability to multi-task and handle high workloads comfortably.
The base salary range for this position is $49,000.00 - $73,000.00 per year. Individual pay will be based on various factors, such as relevant work experience, education, certifications, skill level, seniority, and internal equity.
For regular full-time or regular part-time employees of the Company (participating companies as listed in the Summary Plan Description), insurance coverage options include medical, dental, vision coverage, life Insurance, Business Travel Accident Insurance, and Occupational Accidental Death Benefit programs.
Employees also participate in a company pension plan and a 401(k) plan. Paid leave includes up to 6 weeks of paid vacation time, up to 11 paid holidays, and parental leave offering 16 weeks of paid leave to birthing mothers, and 8 weeks of paid leave for non-birthing parents.
Additionally, employees are eligible for disability leave for up to 52 weeks at 100% or 50% of base pay. Shell also offers other compensation such financial reimbursement for adoption, wellness, education, and personal learning expenses, and some roles are eligible for discretionary long-term incentives.
