Purchasing Specialist

Primary Purpose:

Assist with coordinating District purchasing involving procurement of supplies, services, and equipment as needed to support the school district by performing assigned duties.

Qualifications:

Education/Certification:

High school diploma or GED required

Associates degree from an accredited college/university preferred

Special Knowledge/Skills:

Knowledge of basic accounting procedures

Ability to use personal computer and software to develop spreadsheets, databases and word processing

Proficient in keyboarding, 10-key numerical data entry, and file maintenance

Ability to communicate effectively

 

Experience:

One or two years of accounting-related experience or purchasing experience preferred

Major Responsibilities and Duties:

Accounting

  1. Review requisitions for conformance to school district policies and procedures
  2. Assist with determining the method of procurements
  3. Prepare documentation for the input of purchase orders or quote requests. 
  4. Verify and determine the classification of fixed assets and “controlled items”
  5. Approves and processes all purchase orders
  6. Assist with compiling and maintaining bids and quotes according to state laws.
  7. Maintains procurement records such as items or services purchased, costs, delivery, product quality or performance, and inventory.
  8.    Assist with monitoring gifts and donations to the district and process orders as necessary.
  9. Confers with vendors to obtain product or service information such as price, availability, and delivery schedule.
  10. Attend staff development to keep informed on current purchasing bid law statutes, regulations, and issues.

Data Entry

  1. Input data into the accounting system.

Records and Reports

  1. Monitors purchasing for state and board required policy
  2. Compile, maintain, and file all reports, records, and other documents as required.

Other

  1. Receive incoming calls, answer questions, and direct calls to the proper party.
  2. Communicate the status of requisitions with all staff as required.
  3. Keep informed of and comply with state and district policies and regulations concerning primary job functions.
  4. Assist with training staff regarding the proper procurement of goods and services.
  5. Perform other duties as assigned by Chief Financial Officer.
  6. Follow district safety protocols and emergency procedures.

None.

Tools/Equipment Used: Standard office equipment including personal computer and peripherals

Posture: Prolonged sitting; occasional bending/stooping, pushing/pulling, and twisting

Motion: Repetitive hand motions including frequent keyboarding and use of mouse; occasional reaching

Lifting: Occasional light lifting and carrying (less than 15 pounds)

Environment: May work prolonged or irregular hours

Mental Demands: Work with frequent interruptions; maintain emotional control under stress
