General Summary:

Under the supervision of the County Clerk, performs a variety of tasks to assist in the processing of Circuit Court cases. Attends circuit court proceedings to assist the Judge, and collect necessary information to prepare designated court orders. Enters information from court records to the computer. Assists attorneys, parties and others by providing counter assistance and responding to telephone inquiries. Receives, documents and files papers for court cases.

Minimum Qualifications:

Education: High school graduate or equivalent. Preferadditional coursework in data processing, court administration or related fields.

Experience: One year of experience, preferably in a court, law office or other legal setting that provides familiarity with legal terminology, processing of court cases, and data processing.

Ability to enter and access information from a computer.

Ability to operate a copying machine.

Ability to access office files sometimes utilizing a ladder up to 8 feet high.

Ability to retrieve and move books and indexes weighing up to 25 lbs.

Ability to access the courtrooms and other work locations of the County Clerk.

Essential Functions:

1. Opens criminal, civil, and domestic relations circuit court cases. Enters information on cases to the computer. Records plaintiff, defendant, addresses, attorneys and other case information. Prepares file folders and enters documents, issues summons, prepares a docket page, and enters fees involved.

2. Responds to inquiries at the counter and on the telephone, provides information on court procedures, researches case activity for attorneys, defendants, and others, and directs people to the proper court, individual or office. Accepts and processes legal documents, collects fees, and files papers after recording.

3. Accepts payments for and writes receipts for probationers for attorney fees, restitution, costs, crime victim rights fees, and other fees. May be assigned to balance money daily.

4. Attends circuit court sessions, pulls files for the day and provides to the Judge in court, keeps records of court actions such as pleas, arraignments, sentencings and other procedures, prepares orders resulting from court action and types judgments of sentencing and bond orders.

5. Assists with jury trials by readying the courtroom, administering oaths, maintaining a log of court actions, and providing related assistance to the Judge.

6. Sets up accounts for bond, probation and restitution money. Processes orders of the Court requiring the disbursement of bond or restitution money, distributes money as ordered, and ensures that disbursements are made on the proper case number.

7. Enters all judgments, sentences, and other appropriate documents on circuit court cases and notifies appropriate authorities of case dispositions.

8. Maintains records of jurors appearing for court and complete attendance forms for jurors to verify their time in court. Prepares and processes vouchers for juror payroll, includes calculating days served, mileage, and lunch reimbursements.

9. Organizes juror questionnaires and prepares for use in the courtroom, maintains jury roll sheets, and prepares the list of jurors to call. Updates the list based on people moving or those granted excusal from duty. Follows up on absent jurors. Prepares and delivers jury list to the court.

10. Assists individuals in the preparation and processing of personal protection orders.

11. Closes files, ensuring that processing is completed as required by the type of case, includes ensuring judgment fee is paid, judgement entered, or processing dismissals and judgments on civil matters or processing necessary actions on criminal matters.

12. Types abstracts for driving offenses and drug cases and mails to Secretary of State.

13. Conducts record searches and compiles and releases data from records in response to inquiries.

14. Performs a variety of support functions such as mailing copies, sending faxes, and related tasks

We are looking to fill the Court Clerk position. The desired skills include proficiency with legal documents, filing and record-keeping, and a strong understanding of due process and courtroom protocol. A Court Clerk should be able to both think creatively and work within existing procedures, and should be able to multitask without compromising quality. In addition, candidates should be willing to travel to other courthouses and attend training sessions.

Responsibilities:

  • Receives, sorts, and sends incoming court documents for filing.
  • Provide incumbent with legal research assignments.
  • Record information about charges, plea agreements, and court appearances.
  • Communicate case status to attorneys, judge, and parties.
  • Ensure that proper procedures are followed during court proceedings.
  • Prepare files in case a case goes to trial.
  • Prepare files for judges review.
  • Prepare files for congressional review.

Job Type: Full-time

Pay: $17.99 - $19.00 per hour
