The Role: As the Executive Assistant you will be responsible for performing all administrative functions, such as preparing correspondence, presentations, scheduling meetings, travel arrangements, special requests, and projects for SVP Chief Commercial Officer, SVP Business Development, and their direct reports. Due to the SVPs significant international travel, you would at times be responsible for providing support outside of traditional work hours, dependent upon travel schedules.
How You Will Make an Impact:
General Administrative Support
- Manage the executive’s extremely active calendars, including making meetings/appointments and prioritizing the most sensitive matters
- Complete expense reports, perform minor accounting duties
- Compose and prepare correspondence
- Arrange complex and detailed travel plans, itineraries, and agendas; and compile documents for travel-related meetings
- Organize meetings, including scheduling and sending reminders
- Creating PowerPoint slides and support edits of presentations
- Assist in preparing for meetings
- Accurately record action items from meetings, occasionally take minutes
- Provide ‘gatekeeper’ role for the executives and their time
- Perform office duties that include ordering supplies, answering executives’ phones, etc.
- Proven ability to handle confidential information with discretion
- Prioritize conflicting needs
- Provide general administrative support to the executives and their teams
Commercial Meeting Planning
- Organize annual meetings/conferences/catering
- Registrations and hotel accommodations for all attendees
- Assist in coordinating travel for attendees
- Schedule/Track customer meetings and assist in preparing Account Plan preps
- Issue summary of meetings/follow up on action items
Creating Extraordinary Starts With:
- Associates or Bachelor’s degree in business or demonstrated equivalency
- Minimum 5 years’ experience supporting C-Level Executives
- In-depth understanding of entire MS Office Suite
