We are currently seeking a Receptionist to join our team!
As a Receptionist, you will be responsible for SIF greeting and welcoming guests while on SIF premises, as well as answering incoming calls and providing requested information or forwarding calls to the appropriate department or person.
We’ll be looking for YOU to:
- Serve as first point of contact to visitors entering the SIF building by greeting and welcoming guests in a friendly and professional manner.
- Answer, screen and forward incoming phone calls, as well as provide assistance to stakeholders with website navigation, registration, online payments and claim information.
- Assist in maintaining building security by following safety procedures and controlling access via the reception desk (monitor logbook, issue visitor badges).
- Provide assistance to internal customers by preparing mailers, packets, certificates and distribution of necessary supplies and tools, as well as issue receipts, proper reporting to Underwriting and Accounting departments of payments on quotes, pending cancel and canceled policies.
- Assist the Document Processing team with daily mailing processes and also act as a liaison for Facilities team to coordinate employee onsite pick-ups/drop-offs, badge distribution and badge access levels.
- Utilize Microsoft Outlook calendar to schedule conference rooms for meetings.
- Ensure reception area and conference rooms are tidy and presentable.
Your background should include:
- High School diploma or equivalent.
- Proven work experience as a Receptionist, Front Office Representative or similar role; Call Center experience is a plus.
- Proficiency using desktop applications, e.g., Microsoft Office products, to generate emails, forms/letters, schedule meetings, as well as search and download information from the internet.
- Hands-on experience with office equipment (e.g. fax machines, scanners and printers).
- Solid oral and written communication skills with the ability to communicate effectively and efficiently in a business setting, with both external customers, as well as with various levels within the organization.
