The Home Health Authorization and Medical Records Coordinator will complete insurance authorization for Home Health/Home Care patients for timely and accurate billing of managed care claims requiring prior authorization for home care services. The Authorization and Medical Records Coordinator will also be reponsible for gathering and uploading all appropriate Medical Records such as signed orders to patient medical file.
Responsibilities
- Secure authorizations for all managed care clients in a timely manner to facilitate billing and maximize reimbursement.
- Track all authorizations using the Electronic Medical Records (EMR) for authorization information, as well as status and outcome of all requests to aide in the alleviation of bad debt.
- Communicate timely with clinical staff and third-party payers regarding the medical necessity for authorizations for home care services and reminders regarding pending authorization expirations.
- Communicate with scheduling coordinators, clinical staff and managers/supervisors regarding inquiries/referrals that are pending awaiting authorization.
- Verify the accuracy of the authorization information in the EMR as entered by other agency staff.
- Work closely with billing and accounting staff to facilitate timely and accurate billing to prevent denials resulting in bad debt.
- Review clinical documentation and aid in the appeals process when claims are denied.
- Functions as a customer service representative in all interactions with healthcare professionals and in-office employees. Understands the relationship between records administration and all other processes. Has knowledge of and adheres to all company policies associated with record establishment, maintenance and confidentiality.
- Distributes copies of documentation to other in office users as appropriate.
- Responds to external requests for information.
- Logs and faxes physicians orders and follows up by telephone to assure that all documents are returned according to company policy, when requested to do so. Records the receipt of signed orders on the log the day they are recieved. Follows standardized procedure for tracking orders.
- Provides information that enables the collection and root case analysis of data to identify opportunities for improvement.
- Assists in implementing and maintaining standardized operational processes in compliance with company direction and policies, legal requirements, and regulatory mandates. Provides back-up support and handles addional functional roles and responsibilities, as required, to assure that operational needs are met. Completes special assignments as requested.

Qualifications/Skillsets
- High School diploma or equivalent
- Minimum two years’ experience in administrative and or medical billing position in healthcare setting
- Knowledge of medical terminology
- Knowledge of insurance reimbursement process
- Effective data entry, problem-solving, human relations and oral/written communication skills
- Demonstrates good communications, flexibility and cooperation in performing job responsibilities
- Basic computer skills and knowledge of office technology
