JOB TITLE: Commercial Real Estate Property Manager

Commercial Real Estate management company looking for an experienced property manager for an established and growing management company.

Principal Duties and Responsibilities

Leasing and Contracts:

  • Experience working with commercial leases and vendor contracts is a must.
  • Experience balancing property financial and leasing records as well as overseeing building facility maintenance and management.

Administrative:

  • Ensure compliance with all federal and state OAR & ORS relevant laws and regulations
  • Maintain all statutory required records

Financial:

  • Review all financial reports to ensure they are accurate
  • Prepare and distribute monthly owner reports
  • Review and code invoices
  • Prepare annual budgets
  • Reconcile tenant accounts
  • Accomplish property owners objectives by forecasting projects & maintenance needs; analyzing and correcting budget variances; scheduling expenditures; initiating corrective action

Maintenance/Projects:

  • Maintains property by enforcing rules of occupancy; inspecting vacant units, scheduling repairs; ensuring safety; planning renovations; contracting/managing vendors
  • Implements preventative maintenance programs
  • Performs detailed property inspections and documents findings

Tenant Relations:

  • Resolve tenant complaints and concerns in a timely and efficient manner
  • Negotiate, prepare and enforce lease agreements
  • Complete all required paperwork for new tenants
  • Ensure the premises is ready for new occupants
  • Maintain consistent relationships with tenants
  • Oversee tenant improvements to ensure construction and building rules are followed
  • Respond to site when needed

Property Owner Relations:

  • Resolve and answer owner questions and/or concerns in a timely manner
  • Communicate with owner upon completion of budget projects and unexpected expenses
  • Prepare monthly maintenance and financial reports for owners
  • Prepare, send and review annual budget with property owner

Vendor Management:

  • Periodically obtain bids for services/products to make sure pricing remains competitive
  • Schedule and monitor vendors on all maintenance and projects
  • Inspect vendor work and services to ensure high quality and completion of work
  • Negotiate on behalf of owner to achieve high quality and cost-effective services
  • Review and sign contracts on behalf of owner

Staff Management:

  • Direct and control all assistant personnel to ensure property is being properly maintained and owner objectives are being met
  • Monitor expenditures and mileage reimbursement of assistant personnel
  • Ensure all accounting department functions are being performed and followed in accordance to all federal and state OAR & ORS relevant laws and regulations

Required Education:

  • Completion of the 60-hour Oregon Property Manager pre-license course
  • Passing of the Oregon Property Manager License State Exam

Knowledge, Skills and Abilities:

  • Knowledge of relevant local, state and federal legislation and regulations
  • Must be able to organize and efficiently complete multiple tasks at once
  • Exercise good business judgment in making daily decisions with short-term and long-term interests of the owners, tenants and company in mind
  • Work effectively and cordially with a wide variety of people and situations, both pleasant and unpleasant
  • Maintain the integrity of highly confidential business information
  • Above average verbal, written and data entry skills
  • Must be able to respond effectively with time pressures, stress and rapid change
  • Working knowledge of budgets and financial statements
  • Working knowledge of contracts and agreements
  • Working knowledge of building and grounds maintenance
  • Understanding of financial and accounting principals
  • Understanding of customer service principles

Requirements:

  • A reliable, insured vehicle
  • Valid Oregon Driver’s License
  • Proficient in Microsoft Word, Excel and Outlook
  • Proven success of prioritizing and multi-tasking in busy environment
  • Must be willing and able to travel to various property sites
  • Detail oriented with ability to manage time efficiently
  • Exhibits solid communication skills, with an ability to calmly resolve disputes or complaints
  • Must work well independently and as part of a team

Working Conditions:

Work is performed both in the business office and on site at the managed properties. Regular work hours are normally Monday through Friday from 8:00am to 5:00pm with a 1-hour lunch break. Licensed Property Managers will also respond to emergency calls outside of normal business hours.

Job Type: Full-time

Pay: From $65,000.00 per year
