This Administrative Assistant provides clerical and administrative support to the Human Resources team. This position is responsible for providing efficient and effective support in both the HR office and/or the Adjunct Faculty office. Some of the primary in the areas and functions of administrative support include but not limited to: staffing and recruiting support; front desk/customer service; budget and accounting functions; general reporting; special projects and other related HR duties.

The salary range for this position is $37,662 – $50,216 and is determined commensurate with experience.

Principal Accountabilities
  • Provide accurate, timely and appropriate information and referrals to internal and external customer inquiries via phone, e-mail, or in person
  • Interact effectively with all visitors and callers, representing HR in a professional and very friendly manner
  • Maintain current knowledge of HR processes and procedures
  • Exercise judgment in knowing when and to whom referrals are appropriate
  • Assist internal and external applicants by answering questions regarding the online resume/application system
  • Assist in logging all documents (electronic or hard copy) that come into the department to move to the appropriate queue or location for processing or review
  • Accurately process and manage background checks and state retirement data entry and any additional reporting
  • Coordinate the adjunct, College Credit Plus, student and part-time hiring processes along with entering the necessary data into the HR database and other related duties as needed
  • Assist in recruitment/advertising as needed
  • Manage record keeping and report generation of employee data
  • Assist with management of mail distribution for the office; maintain knowledge of postal requirements and mail room policies/procedures
  • Assist adjunct faculty with duplication services, key ordering, scanning services, mail service, lockers, etc.
  • Assist with the ordering of office supplies and forms as needed
  • Assist with the department’s Online Requisite processes as needed
  • Maintain and update employee record information within Colleague/HR database
  • Facilitate office efficiency through knowledge of college administrative processes
  • Verify and process bills/invoices as needed
  • Schedule meetings and other HR sessions or activities; coordinate appropriate food service, room schedules, etc.; travel arrangements as needed
  • Assist with HR sponsored employee events as needed
  • Assist with New Hire Orientation preparation as needed

Requirements
  • Minimum of a High School diploma or equivalent required; Associate’s degree in related field preferred
  • Minimum of 5 years of administrative assistant professional work experience required
  • Ability to work on multiple tasks simultaneously while providing great attention to detail and meeting all necessary deadlines required
  • Professional communication skills to include but not limited to oral and written required
  • Typing speed, accuracy and professional document formatting skills required
  • High level computer skills to include Microsoft Office and various software to create professional documents and reports required; current working knowledge in Colleague, PeopleAdmin, or other HR related databases preferred
  • Demonstrated positive and professional attitude required
  • Ability to use sound judgment and display tact, flexibility and sensitivity in dealing with information and situations of a sensitive and/or confidential nature required
  • Excellent customer service skills demonstrated through a positive attitude, approachability, and adaptability required
  • Current working knowledge of HR practices and legalities preferred
  • Ability to demonstrate initiative within a fast-paced and high demand office required
  • Ability to work well in a team environment required
  • Ability to work independently performing the necessary research on processes or next steps without prompting processing delays required
  • Ability to demonstrate excellent organizational skills required
  • Ability to work a flexible schedule and adapt to varying needs of the department required
