Local company in need of dedicated, reliable, hard-working, general office support with positive can-do attitude. Assists the team with management of daily activities. Interacts with the public and vendors. Manages scheduling meetings, jobs and appointments. Composes correspondence, presentations, contracts and reports using a variety of computer software. Prioritizes assignments and tasks under general direction. Performs a variety of administrative duties such as processing bills, vouchers, requests, personnel, and budgets. Must have excellent references, phone skills, reception, and customer relationship skills. Responsible for greeting customers, scanning, and maintaining file system. Must be organized and computer literate with knowledge of MS Word, Excel, and QuickBooks or willingness to learn MS Word, Excel, and QuickBooks.
Responsibilities:
- Answer and direct phone calls
- Organize and schedule appointments
- Inventory, order and maintain supplies for the business
- Helps manage client / order information in the company database
- Maintains the company directory / contact list
- Write and distribute email, correspondence memos, letters, faxes and forms
- Execute written responses as necessary to email or phone requests for information
- Assist in the preparation of regularly scheduled reports
- Maintain documents, records, reports, files and information both in database and in cabinets
- Open, sort and distribute incoming correspondence both electronically and USPS
- Assist in drafting contracts and estimates
- Update and maintain office policies and procedures
- Maintain contact lists
- Submit and reconcile expense reports
- Provide general support to customers
- Customer service strategies and techniques (e.g., handling customer complaints, checking for customer satisfaction)
