Sivia Law is hiring! We are looking for a Customer Care Representative to join our team!
The ideal candidate should have:
- Excellent Communications skills with a background in Customer Service
- Well-Organized, Self-Motivated, Detail-Oriented & Efficient
- Ability to Prioritize multiple projects
- Strong typing & proof-reading skills
- General Knowledge of Computer Systems & Software, along with Basic Office Equipment
- High-School diploma or equivalent, some college preferred
- Experience in the Legal Industry is preferred, but not necessary.
Job Responsibilities include:
- Answer phones: provide information to callers, set appointments, log messages, and follow up
- Email correspondence: maintaining personal email, law firm Information email, and law firm pleadings email.
- Greet clients: keep water and coffee stocked
- Mail- Scan, sorting, and tracking
- Maintain Calendar: set appointments, review appointments on calendar on morning call, review Madison County Dockets and keep agenda, keep track of dates on Court documents.
- Intake/Schedule Initial consultations: Inputting information into CRM, preparing Initial Consultation folders, and setting reminders.
- Responding to online chat, online submissions and emails sent to the law firm information address
- Be able to take payments: online, over the phone, and in person.
- Order supplies for the office: Keep track of items that office needs, place orders, and put away
- Scanning & Filing of documents
- Various Paralegal tasks: Updating court documents, proofreading, and e-filing.
- Appointment tracking: Keep track of appointments that are coming up and keep track of appointment timeliness
- Tracking: Keep track of bills that have gone out, work with Marketing Manager on Dashboard for office, trust transfers, and correspondence tracking.
- Mailing of Cards, i.e. thank you, sympathy, birthday
- Closing Files: Send closing letters, sending evaluations, close out files, and ensure all originals have been returned to the clients.
- Assist Attorneys with Timekeeping & Billing
- Maintains the Billing System
- Other various tasks as assigned
