We are seeking a dedicated Digital Operations Specialist to join our **** Digital Experience team. In this role, you will support our Digital and Social Marketing Managers, ensuring the seamless coordination and delivery of digital campaigns. Your attention to detail and organizational skills will play a key role in driving successful outcomes for our projects and stakeholders.
As a Digital Operations Specialist, you will be responsible for maintaining a structured approach to tasks, tracking progress, and ensuring all deliverables are met on time and to the highest standards. This position requires a proactive communicator who can manage multiple priorities while working closely with cross-functional teams. A minimum of three days a week in-office attendance is required.
Key Responsibilities:
• Oversee the full lifecycle of projects, ensuring smooth progress from start to finish.
• Provide consistent progress updates and flag any potential delays to keep timelines on track.
• Conduct quality assurance checks on all deliverables.
• Manage the creation and testing of campaign tracking codes (UTMs) for digital assets.
• Manage the process of requesting purchase orders (POs), ensuring they are opened on time and verifying that vendors invoice the correct amounts at the right time.
• Reconcile budget(s) spend monthly providing detailed pacing documentation to partners.
• Submit materials for Regulatory, Clinical, and Legal approval, and manage updates or changes as needed.
• Collaborate with external vendors to coordinate media placements, schedule assets, and confirm all materials meet quality standards. Secure proof of publication and share with relevant teams.
• Consolidate and standardize reporting from Endemic publications, ensuring timely delivery.
• Manage lead queues for multiple franchises, coordinating with Digital Marketing Managers on any exceptional cases.
• Oversee the process for uploading videos to the Cardiology YouTube channel, ensuring content is correctly tagged and formatted.
• Handle the intake and generation of QR codes, including tracking, testing, and reporting on performance.
• Document and review workflows to identify potential improvements and enhance efficiency.
• Maintain up-to-date vendor documentation and contact information.
• Support additional projects as required, ensuring consistency and attention to detail.
Minimum Qualifications:
• A minimum of 3 years' experience in project management or a related role, with strong customer service skills.
• Exceptional organizational, time management, and communication skills.
• Proven ability to handle multiple projects simultaneously and prioritize effectively.
• Self-starter ability to work independently.
