Position Description
Job Title: HR and Operations Systems Manager
Reports To: Chief Operating Officer (COO)
Overview
The HR and Operations Systems Manager is responsible for overseeing the talent process management, enhancement and maintenance of our Standard Operating Procedures (SOPs) as well as responsibility for IT and POS systems management. Talent process management will include recruiting processes, hiring processes, training/development processes and will act as the HR liaison between YSG and Amplified HR to ensure that YSGs HR functions are managed effectively. This role will also directly manage and oversee the Operations Admin role for the company.
- Develop network troubleshooting processes to reduce downtime and repair costs
- Propose future-proofing measures for scalability
- Create disaster plans at both the salon level and network level and disseminate these accordingly
- Monitor salon data usage on an individual basis and report on outliers as needed
- Routinely audit salon camera systems to confirm they are operational and are recording properly
- Develop retention guidelines for security footage and audit routinely for compliance
- Effectively work with staff to resolve IT issues
- Oversee and efficiently manage the IT budget
- Establish maintenance guidelines and simple instruction sheets for Salon Leaders to execute
- Generate performance reports for all operating systems
- Provide regular performance updates to the executive team
- Continuously monitor changing technology and deliver quarterly updates to the Executive team
- Become an expert on the software platforms used and educate the Executive team on the advantages and disadvantages of software upgrades as they are released
- Effectively and quickly manage IT Basecamp tickets
- Monitor daily operations, including server hardware, software and operating systems
- Coordinate technology installations, upgrades and maintenance
- Plan, implement and train on ADPs Workforce Now Applicant Tracking System
- Fund paid ads monthly for our internet job postings on Zip Recruiter and really.com
- Create and share reporting so that qualified applicants are interviewed in a timely manner in all markets
- Manage the rollout and maintenance/training of Paradox in all markets
- Research other potential recruiting platforms and present the best options to the COO
- Analyze all recruiting efforts for effectiveness and continually adapt strategies to ensure the highest return on investment
- Develop and maintain salon-level training and development programs to increase salon productivity and reduce turnover
- Act as a liaison for communication between YSG and Amplified HR
- Audit and confirm that all employment documentation is maintained and up-to-date in the ADP portal
- Audit and revise current SOPs to ensure validity and current application
- Maintain SOPs to ensure they are accurate and enforced consistently
Qualifications
- Experience in information technology management
- Comprehensive understanding of network architecture and client/server technology
- Strong problem solving and communication skills
- Proficient in computer hardware, cabling installation and support, wireless technology applications and interface and IT security
- Advanced knowledge of the Google Suite applications
- Strong understanding of business management
- Excellent communication skills
- Extraordinary organizational skills
