Responsibilities :
- Provide administrative and analytical support for the IT Contract and IT Financial Management functions for company.
- Maintain a repository for internal Service Agreements to ensure systems are updated
- Facilitate the Service Invoicing process by billing on a Quarterly basis and in accordance with Controller fiscal deadlines.
- Facilitate the business needs for ongoing technical support by ensuring that maintenance, support and upgrade protection renewals are managed/handled/ordered prior to expiration
- Ensure maintenance contract spend by ITT/XU is properly recorded in customer's Service Agreements
- Liaison between company and client for contract and purchase-to-pay topics:
- Primary contact for intake of Proof of Performance (PoP) for each service tower
- Work with service tower leads and management to validate services and obtain approvals
- Track spend according to allocated funding
- Provide KPIs periodically and status updates to management team
- Ongoing support for the IT Financial Management process:
- Maintain Purchase Requisition request portal
- Initiate Purchase Requisitions within FiCo SAP system
- Provide Service Cost forecasting to Service customers to facilitate budgetary submission requirements
- Perform billing reconciliation and follow up to ensure accurate revenue collection process
Required Skills:
- Advanced knowledge of MS Office tools, particularly Excel (Pivot Tables, VLookups, Filtering, etc.), SharePoint, and Word
- Knowledge of SAP financial and purchasing systems
- Strong detail orientation and ability to quickly act on changing priorities and attention to urgencies
- Knowledge of ITIL process framework especially service level management, service catalog management, and IT financial management
- Ability to utilize IT systems for SLA contract creation, tracking, billing and reporting
- Preferred knowledge of Information Technology, especially Datacenter services
- Ability to work independently, take initiative, set priorities and see projects through to completion, meet deadlines and respond to changing priorities
- Proven analytical, evaluative and problem-solving abilities
