PURPOSE OF POSITON:

The Purchasing Assistant is responsible for providing administrative support to the buyers and category mangers of the Purchasing Department. Ensuring, maintaining, and increasing efficiency of the work flow in the Purchasing Department. 

 

EXAMPLES OF JOB TASKS:

The list below contains tasks that are typically associated with the job. It is not all-inclusive and may vary.

  • The Purchasing Assistant is responsible for providing administrative support to the buyers of the Purchasing Department
  • Purchase order and vendor follow-up such as acknowledgements, backorders, shipping errors and discrepancies, damages, etc., liaising with the warehouse.
  • Learn and engage in buying tasks to provide back-up support to buyers
  • Create necessary documents for buyers including documents for returning goods to vendors.
  • Assist buyers in communication with other departments such as Accounting and Store Operations.
  • Composes letters, e-mails, and memorandums
  • Produces a variety of documents, charts, spreadsheets, and graphs in final form.
  • Maintains maintenance ticket system and assigns tasks to service providers for completion.
  • Other duties as assigned.

 

SKILLS / ABILITY TO:

  • Excellent written and verbal communication
  • Able to write reports and presentations
  • Some experience with purchasing processes and inventory management preferred, but not required.
  • Experience working in a fast paced, team environment.
  • Performs a variety of administrative support tasks that are highly confidential and time sensitive
  • Ability to work with staff across multiple departments as well as external vendor relations.

 

REQUIREMENTS:

  • Associates degree
  • Proficient with Microsoft Office programs, including Outlook and Excel required
  • Strong data entry, communication, and organizational skills required.
  • Basic math skills required
  • One year of previous related experience required
