Job Overview:
We are seeking a highly organized and detail-oriented Office Assistant/Submittal Specialist to join our small construction company. Roughly M-F 9am-1 as a general idea but we are willing to work with the right candidate to fit your needs.
Duties:
-Provide construction contract support including: tracking and processing of RFIs and Submittals.
-Create and maintain a construction submittals log, as well as track the review, comment, and response process in excel.
-Participate in weekly project team meetings
-File weekly certified payroll reports
-Reconcile project files
-Errands
-Process packing slips and statements, as well as verifying contract pricing from suppliers
-Process mail
-Occasionally assist on bid runs
-General clerical duties including data entry, photocopying, scanning and filing documents
-Answer phone calls and direct them to the appropriate staff members
-Provide support to other administrative staff as needed
Requirements:
- Previous experience in an office or administrative role is preferred
- Knowledge of construction submittals is a plus
- Proficient in using computerized systems, including Word, Excel, Kofax
- Excellent organizational skills with the ability to prioritize tasks effectively
- Strong attention to detail and accuracy in work
- Ability to handle confidential information with discretion
- Excellent verbal and written communication skills
- Ability to work independently as well as part of a team
Job Type: Part-time
Pay: $23.00 - $28.00 per hour
Expected hours: 15 – 25 per week
