Essential Duties and Responsibilities
- Provides program, project, and service management to the assigned team
- Collaborates with appropriate team members to understand the program, project, or service.
- Plans the scope, including time, location, breakouts, costs, registration, meals, etc.
- Manages a schedule of meetings, training, and events, updates as necessary.
- Evaluates all incoming requests, initiating proper workflow processes.
- Determines project priorities in collaboration with leaders, creates assignments, and communicates with internal and external stakeholders.
- Facilitates meetings and documents action items, project scope, timelines, and defined project goals.
- Creates timelines for all programs, projects, and services to ensure deliverables and deadlines are being met efficiently and effectively.
- Monitors effectiveness of project performance and adjusts project plans accordingly.
- Analyzes resource use trends and anticipates workload challenges to provide ample notice of the need to supplement existing resources.
- Creates workflow processes and monitors active projects to ensure compliance with set processes.
- Compiles project management data into reports, analyzes data, and recommends process improvements.
- Partners with the assigned supervisor to ensure team needs are met
- Works collaboratively with internal and external stakeholders to align programs, projects, and services strategies with team and organizational goals.
- Assists with developing and implementing continuous improvement methodology by identifying opportunities for improvement, assisting in evaluation and research, making recommendations, and providing implementation support.
- Reviews and ensures accuracy of all programs, projects, and services documentation for compliance.
- Maintains alignment with organizational standards, policies, and procedures, while ensuring quality benchmarks are met, deadlines are adhered to, and any errors or issues are promptly addressed
- Leads contract formation and manages amendment requests, cancellations, or execution.
- Create requirements, collect bids, and coordinate logistics aligned to our procurement policy.
- Assists with CRM data entry and verifies the accuracy of data.
- Assists with participating agency and member interactions
- Act as primary liaison for inquiries, maintaining communications and relationships in a professional manner with all internal and external stakeholders.
- Advances relationships with participating agencies and members.
- Helps maintain a consistently favorable Sourcewell image, brand, and messaging throughout all programs, projects, and services.
- Develops key marketing materials under the direction of their Supervisor
- Works with the marketing department as a liaison, ensuring stakeholder requirements are defined, communicated, and ultimately met.
- Works with the marketing department to communicate with stakeholders through e-newsletters, social media, and website.
- Facilitates purchase of department-specific marketing materials as needed.
- Assists with various special projects as directed.
- Provides high-level guidance and mentorship of administrative specialists.
- Other duties as assigned.
Required Qualifications
- Associate’s degree or higher in related field, AND
- Three (3) years of advanced professional office experience and/or project management OR
- A combination of related post-secondary and/or professional education/training and demonstrated advanced administrative support equivalent to a total of five (5) years, AND
- Experience with project coordination
- Intermediate to advanced proficiency in Office 365, SharePoint, One Drive, and/or Microsoft Teams
- Strong business process/operational knowledge (e.g., customer service, systems design, inventory management, procurement, accounting, marketing, etc.)
- Experience with event software program
- Experience with Customer Relationship Management databases (CRM)
- Project management certification
- Event management certification
