The Special Events Assistant is responsible for overseeing all department administrative processes and assisting in planning, directing, coordinating, and managing private & Club Events. The Special Events Assistant will work closely with the Event Manager and F&B team to ensure that all Member and guests' expectations are exceeded to enhance their overall enjoyment of the club. The Special Events Assistant should be eager to learn and a team player who takes pride in themselves and their job performance. They'll promote the Club’s facilities for private banquets, business and social meetings to Member and non-member guests. They are also responsible for developing banquet orders and distributing them to all related departments as well as overseeing all administrative and operational aspects of preparing and serving events. They work with banquet and other departments to ensure that member and nonmember guest expectations are exceeded. This is a highly sought after position in Charleston at a multi-faceted Club.
Job Responsibilities:
- Responsible for all event inquiries/estimates, contracts, venue walk throughs, rentals, and tastings.
- Assist Banquet Manager with day of set up & needs: including but not limited to- menu cards/table numbers, personal items to be displayed from the member/guest, tablescapes, rental delivery etc.
- Supports Event Director in keeping accurate Banquet Event Orders for each event and attends weekly BEO meetings.
- Manage Club Pinterest page & Club Event Calendar in North Star.
- Perform additional duties as assigned by Event Director.
Candidate Qualifications:
- Must possess a professional appearance and a warm, accommodating, confident, motivating personality.
- Ability to work without direct supervision and be a self starter.
- Ability to work well under pressure and remain calm in difficult situations.
- Ability to maintain excellent member, guest and employee relations.
- Must abide by the principles, goals and policies of the Club.
- Excellent verbal and written communication skills. Must be comfortable with all modes of communication ( phone, email, in-person).
- Excellent organizational skills, ability to multi task and meticulous attention to detail.
- Excellent time management skills with a proven ability to meet deadlines.
- Must be able to work a flexible schedule, including holidays, nights, and weekends in order to accommodate the business and demands of the Club.
- While the days worked each week may vary according to the event schedule, The event coordinator can generally expect to work 9am-5pm unless advised differently by the Event Director.
