What are the responsibilities and job description for the Fleet Specialist position at SPECTRUM?

JOB SUMMARY
Responsible for providing the Fleet Department with analytical, and reporting support related to management of maintenance and fuel expense, inventory tracking.

SHIFT
Monday - Friday, 8:00am - 5:00pm with 1 hr lunch

MAJOR DUTIES AND RESPONSIBILITIES
Actively and consistently support all efforts to simplify and enhance the customer experience
Provide monthly reports on maintenance expenses, fuel expenses and inventory levels.
Responsible for maintaining, monitoring and managing vehicle assignment information in Fleet database
Maintain a minimum number of vendors to maintain vehicles to insure quality, timeliness of service and at a rate comparable to a) prevailing market prices and b) of similarly qualified providers.
Insure that pending repair and maintenance POs are approved within 4 hours.
Identify chronically unreliable equipment and keep a running log of equipment that is high priority for replacement.
Receive new vehicles and insure that both the condition of the vehicles is acceptable and the paperwork documenting the transfer of equipment is properly completed and preserved.
Monitor and resolve any quality or on time delivery issues of vehicle repairs
Perform periodic vehicle inventory and maintain accuracy
Provide guidance, define and communicate policies and procedures to external and internal customers. Insure deadlines are met
Respond to correspondence (phone, email, etc.) with a high degree of accuracy and timeliness
Assist in invoice/budget tracking
Act as the Managed Area liaison with the fleet maintenance and fuel management companies.
Perform other duties as requested by supervisor

PREFERRED QUALIFICATIONS
Skills / Abilities and Knowledge
Ability to read, write, speak and understand English
Ability to communicate orally, and in writing, in a clear and concise manner
Ability to handle multiple projects and tasks
Ability to maintain confidentiality of information
Ability to make decisions and solve problems while working under pressure
Ability to prioritize and organize effectively
Ability to show judgment and initiative to accomplish job duties
Ability to use personal computer and software applications (Proficiency with Microsoft Access and Excel is required and report writing skills preferred.)
Ability to work with others to resolve problems and handle requests
Working familiarity w/current alternative fuel technologies
Experienced and knowledgeable in the use of core MS Office applications (Outlook, Word, Excel, Power Point)
Proficiency with FMS database and reporting tools
Knowledge and ability to use the following office equipment telephone, copier, fax and calculator
Excellent analytical skills
Knowledge of cable television products and services
Ability to negotiate with vendors on price, delivery, quality, etc

EDUCATION
An Associate Degree from an accredited college or university with emphasis in Automotive Technology, Business, or a related field is preferred or five years experience in Fleet Management
CAFS certification from NAFA
