What are the responsibilities and job description for the Leadership Gifts Coordinator position at Spelman College?
This position is responsible for handling the clerical, administrative, and logistical functions for the Leadership Gifts and Planned Giving Office. This employee coordinates all Leadership activities including travel and meetings with donors.
Essential Duties and Responsibilities
- Completes all travel and meeting expense reports and ensures timely submission to the business office;
- Coordinates all travel and schedules logistics for the Leadership Gifts Team;
- Designs and handles all arrangements for donor presentations;
- Maintains the donor acknowledgement system for Leadership Gifts and Planned Gifts;
- Responsible for all Leadership Gifts mailings including campaign folders, materials, tokens of appreciation and monthly pledge reminder letters;
- Assists with drafting, editing, and mailing all Leadership Gifts and Planned Gifts correspondence including reports, letters, acknowledgements and proposals;
- Prepares travel and meeting briefings on top level prospects and donors for the leadership at Spelman and Institutional Advancement;
- Assists in budget management of the Individual Giving Team through supply orders, tracking of budget activities, and vendor management;
- Maintains Banner databases which include providing data entry of leadership gifts activities such as trip report information; generates reports from Banner using Crystal Reports and Microsoft Access, and keep prospect information current in database;
- Maintains and distributes department reports related to portfolio management and fundraising statics;
- Collaborates with Donor Relations on donor recognition system;
- Coordinates faculty, staff, and student participation in donor events.
- Assists Director with gift solicitations; this includes outreach for appointments, preparing briefing documents and any additional follow up as appropriate;
- Keeps the College’s master files up-to-date including biographical updates and contact reports;
- Assists Director with developing, documenting and implementing a strategy for each donor and prospect, including ways to increase their involvement in the activities of the college;
- Assists Director to work closely with volunteers to achieve fund raising goals
Bachelor’s degree with a minimum of three years of professional related experience or an equivalent combination of education and experience required.
This position requires strong customer service focus plus good written, verbal and time management skills. Professional demeanor with the ability to interface with internal and external customers with diplomacy and tact is essential. Independent judgment is necessary to plan, prioritize and organize donor meetings with attention to detail. Work requires fact-finding and compilation skills plus ability to perform a variety of tasks simultaneously.
Excellent oral communication skills are required when presenting information and responding to questions from internal and external customers in one-on-one or group situations. Incumbent must be able to write business correspondence plus compose memos, and e-mails. Also, must be able to read, analyze, and interpret documents such as safety rules, travel schedules, and procedural manuals. Good proofreading skills are essential.
To perform this job successfully, an individual must have intermediate skills using Microsoft Office Suite (Word, Excel, and PowerPoint). Some applications may require advanced skills. In addition to producing correspondence, memos, and e-mails, duties may involve assignments that require creating spreadsheets, tables, PowerPoint presentations, and newsletters. Use of Outlook or similar application and Internet navigation are essential.
