ASSISTANT DIRECTOR VACANCY

The Spencer County Public Library (SCPL), located in Taylorsville, Kentucky, is seeking a full-time Assistant Director. Reporting to the Library Director, this position supervises the circulation desk staff. In the absence of the Director, this position supervises all staff.

The schedule is 37.5 hours per week, containing some nights and Saturdays. This position is onsite, with no work-from-home hours.

The Assistant Director has primary responsibility for three major areas of the library;

1) Administration: including Payroll, Staff Scheduling, E-Rate, and maintaining vendor files.

2) Technology: Library computer systems, ILS, Website, and Interconnectivity.

3) Staff, Operations, and Customer service.

Essential Duties

1. Provides administrative assistance to the Director

2. Works with the Library Director to plan, develop, and provide high-quality library services to meet the needs of the community

3. Assists the Director in developing library policies and services and implementing policy and service decisions

4. Prepares four-week work schedules

5. Track use and balance of employee sick and vacation days

6. Processes bi-monthly payroll, reviewing timesheets, submitting information to the payroll service, and approving final figures

7. Manages Circulation personnel, including determining needs, hiring, training, scheduling, monitoring, motivating, leading, evaluating staff, and resolving problems.

8. Administers the budget and makes selections for the Audiovisual collection in keeping with SCPL's Collection Development Policy

9. Assists the Library Director with technology planning

10. Oversees the daily operations of the library's technology. Troubleshoots computers and systems (Envisionware), Internet provider, and maintains the Library website.

11. Acts as administrator & liaison for the ILS (Atriuum)

12. Maintains knowledge of new developments in the library profession through professional development opportunities, including but not limited to participation in activities of professional organizations and networks

Additional Duties

1. Assists in hiring and training employees

2. Prepares narrative, statistical and other reports as requested by the Library Director

3. Assists in preparing for financial audit

4. Maintains and updates Trustee and Employee manuals

5. Balances the cash register occasionally

6. Acts as an administrator for the Library E-Rate program, as necessary

7. Assists with the budget preparation in collaboration with staff and Director

8. Assists in compiling the Annual report in collaboration with library staff and Director

9. Orders office and library processing supplies

10. Assists in Planning and executing Library programs in coordination with the

Youth Services and Adult Services Librarians when needed

11. Helps to develop and keep job descriptions and operating policies and procedures current, relevant, and in compliance

12. Assist in grant writing and reporting

13. Opens and closes the library when needed

14. Occasionally enters invoices into QuickBooks

15. Makes bank deposits

16. Monitors facility and grounds and reports needed repairs to Director

17. Answers phones and works the circulation desk when needed

18. Attends occasional Board meetings

  • Ability to work independently, manage time and resources to achieve results, and appropriately delegate tasks
  • Ability to analyze issues and exercise good judgment to solve problems and make decisions

  • Ability to recommend, develop, implement, and communicate library policies and procedures

  • Ability to work a flexible schedule, including evenings and weekends as necessary
  • Ability to type 30 wpm and to use appropriate software to create spreadsheets, reports, and other documents
  • Alphabetical and numerical filing skills
  • Ability to retrieve and return books to shelves
  • Ability to maintain the confidentiality of library user records
  • Ability to travel as necessary for professional training, meetings, and conferences
  • Ability to secure and maintain library certification

Physical Characteristics

  • Sufficient powers of speech, hearing, or other common capabilities, with or without reasonable accommodations, to enable the employee to communicate effectively
  • Sufficient vision or other powers of observation, with or without reasonable accommodations, to enable the employee to review a wide variety of materials in both electronic and print formats
  • Sufficient manual dexterity, with or without reasonable accommodation, to enable the employee to function in a general office environment
  • Ability to stand for extended periods of time
  • Ability to reach above the head and below the knee to retrieve shelved items
  • Ability to push/pull a loaded book truck of up to 100 pounds
  • Mobility necessary to assist members
  • Ability to lift up to 20 pounds
  • Capable of handling books and materials and packing and unpacking boxes

Experience and Training

An MLS or MLIS degree from an ALA-accredited institution and three years of library supervisory experience are preferred. Other combinations of education and experience may be considered.

Salary

The salary will be determined based on education, experience, and qualifications. Salary Range:

$39,000 - $44,000
