JOB SUMMARY (overview of job):  The Contract and Policy Specialist is responsible for ensuring consistent management of system-wide documents, such as contracts, policies and forms. This position will build and maintain contract and policy management programs for St. Peter’s Health System that supports our quality and delivery of care, financial stewardship and compliance with DNV standards. The Contract and Policy Specialist will review all St. Peter’s Health contracts and use independent judgement in ensuring compliance prior to final contract approval. Contract review will include analysis of selected indicators that contracted entities provide services that are safe and effective, ultimately contributing to St. Peter’s becoming the gold standard. Maintains contract and policy management that adheres to regulatory and compliance requirements. This includes oversight of the document management process, including timely review and approval from appropriate Directors, upholding standards for formatting, content, terms and conditions, tracking document deadlines, and ensuring supporting documentation is completed as applicable. The Contract and Policy Specialist’s role requires close collaboration with members of St. Peter’s Leadership, as well as with external stakeholders. Supports operations as a subject matter expert in the contract and policy processes to identify opportunities to improve administrative and operational complexities.

KNOWLEDGE/EXPERIENCE:  At least five years’ experience as a paralegal, contract administrator, document control specialist or similar capacity with excellent verbal and written communication skills; overall computer proficiency; and attention to detail.  

EDUCATION:  Bachelor‘s Degree required. Paralegal/legal support staff experience or certification required.  

LICENSE/CERTIFICATION/REGISTRY:  Paralegal certificate preferred.

Demonstrated ability to:

  • Exercise discretion and independent judgment in matters of significance to St. Peter’s Health.
  • Ensure documents are properly entered into organizational database and securely maintained.
  • Enforce standards for document format and content, including presentation of terms, relationship, confidentiality, indemnification, etc.
  • Assure accuracy and appropriateness of text and attachments.
  • Provide document support, such as reviewing drafts for standardization of content, assisting with version management and tracking documents through their lifecycle from inception through execution.
  • Ensure necessary supporting documentation is included or attached prior to execution or publishing, including but not limited to current references, Business Associates Agreement, St. Peter’s Propriety Network Access Agreement, and Certificates of Insurance, as applicable.
  • Draft documents based on senior management input, and organizational needs and expectations.
  • Track deadlines and communicate to stakeholders on an ongoing basis.
  • Prior to contract renewal, assist with review of contractual performance of vendors for quality.
  • Update and maintain document templates.
  • Assist the Compliance/Risk Officer as directed.
