About you:
As the Executive Assistant to the CEO you will be responsible for providing comprehensive support to the CEO- Lauren Chitwood, as well as working with and supporting the Executive Team. In this dynamic position you will need the ability to anticipate needs, think critically, and offer solutions to problems with a high level of professionalism and confidentiality. As the EA to our CEO, you will have a “do what it takes” attitude and have the ability to work independently, with a solid balance of being technologically astute combined with professional decorum.
Must be located in Louisville, Kentucky!
RESPONSIBILITIES:
- Provide refined calendar management for our CEO. Prioritize requests while troubleshooting conflicts; make assessments and suggestions to ensure smooth day-to-day engagements. Schedule meetings; draft agendas; develop, compile, and distribute presentation materials and record meeting minutes as needed
- Complete a comprehensive variety of administrative details that facilitate the CEO’s ability to efficiently lead including: assisting with special projects; creating and producing complex documents, reports, and presentations; collecting and preparing information for meetings with staff and outside parties; composing and preparing correspondence; maintaining contact lists; making travel arrangements; and completing expense and mileage reports.
- Serve as the primary point of contact for internal and external parties on all matters pertaining to the CEO, including highly confidential and/ or critical nature. Prioritize and determine proper course of action, referral, or response, exercising judgement to reflect CEO’s style and organization policy.
- Work closely with the CEO to keep them well informed of upcoming obligations, following up appropriately. Act as a "barometer," having a sense of urgency and keeping the CEO updated. Foresee CEO’s needs in advance of meetings, conferences, etc.
- Act as the "gatekeeper" and "gateway" role, providing a bridge for smooth communication between the CEO and staff, demonstrating leadership to maintain credibility, trust, and support with all internal team members.
- Work with the team to coordinate the CEO’s sales activities. Follow up on contacts made by the CEO to cultivate ongoing relationships.
- Other projects/duties as assigned for the overall benefit of the organization.
- Following training and orientation to Spiritless systems and procedures - retrieve requested reporting and data as directed
- Occasionally on-call on evenings and weekends
QUALIFICATIONS:
- Some secondary degree is preferred or a combination of education and experience working with C-suite and professional businessmen and women.
- 2 years of administrative support and/or project management experience
- Prior experience assisting a business leader.
- Hands-on experience managing a leader and his/her direct reports, including meetings, travel and employee and client events.
- Highly proficient in G Suite and Microsoft office tools
JOB DETAILS:
- Location: Louisville, Kentucky with the potential for remote work with travel required (up tp 20% of the time)
