This position is full time on-site, we are not offering hybrid, remote, or flex schedules at this time. 


PRIMARY OBJECTIVE OF POSITION

Perform general office tasks like organizing and delivering documents, filing reports, updating records and communicating with clients by answering phones, making copies and other standard office duties


DUTIES AND RESPONSIBILITIES / ESSENTIAL FUNCTIONS

  • Provide accounting and clerical support to the accounting department
  • Prepare and maintain accounting documents and records
  • Prepare reports for different situations such as deposit summaries and balance sheets
  • Organize financial documents like receipts, send outgoing mail and help accounting staff manage with communication.
  • Reconcile accounts in a timely manner
  • Research, track and restore accounting or documentation problems and discrepancies
  • Entering debits and credits into software applications and databases accurately
  • Checking for accuracy in reports, figures and postings
  • Answer the company phones and greet all callers cheerfully and professionally.
  • Regularly check and promptly respond to any emails and voicemail messages
  • Process orders from assigned customers
  • Request Freight charges or ship dates from the Warehouse Manager when required for specific orders 
  • Check PayPal and other websites daily for web orders and process as directed
  • Enter orders properly into Sage
  • Match Invoices with orders and verify them for accuracy
  • Enter the tracking number for web orders and provide the numbers to customers upon request 
  • Email/mail, or enter invoices of orders that have been shipped in a timely manner
  • Act as the front desk receptionist when required, greeting visitors, and making them comfortable
  • Fully trained to cover for Accounts Receivable and Payable as needed.
  • Provide general administrative support as needed for HR, Accounting, CEO and all Department Managers as needed


Requirements

QUALIFICATIONS

EDUCATION

REQUIRED:

  • High school diploma or GED

EXPERIENCE AND SKILL

REQUIRED:

  • 3 years of customer service or administrative experience
  • Familiarity with bookkeeping and basic accounting procedures
  • Must speak, read, and write English with high proficiency to communicate effectively with customers
  • Must be self-motivated with the ability to work independently with little supervision
  • Ability to perform filing and record keeping tasks
  • Data entry and word processing skills
  • Experience with and strong working knowledge of WORD, Excel, and Outlook

PREFERED:

  • 5 years of customer service or administrative experience
  • AR and AP clerk experience


WORK ENVIRONMENT AND PHYSICAL DEMANDS

Vision: Use vision to read, write, type, operate office, electronic, and manufacturing equipment, and make fine adjustments.

Speaking/Hearing: Give and receive information through speaking and hearing.

Motor Coordination: Requires hands to operate equipment.

Lift/Carry: Regularly lift, push, and move up to 50lbs.

Environment: Office and warehouse environments may be dust, contain sharp edges, include areas that are not well lit, the floor may be uneven or cracked, and the facility may be subject to variations in temperature.
