We are a fast-paced, high-growth, private equity backed business that is highly acquisitive and rapidly expanding its geographic footprint. The role will have a high-level of visibility to the VP and c-suite levels of the company.
Headquartered in Oakbrook Terrace, Spotless Brands operates 4 different car wash brands across 145 locations in 8 states and Washington D.C. Spotless Brands owns and operates Phoenix/Colorado-based CobbleStone Auto Spa, Oklahoma City-based Okie Express Auto Wash, Washington D.C based Flagship Car Wash, and Tennessee-based Ultimate Shine Car Wash.
Position Overview
The Payroll Lead will be a “hands on” payroll processor who will oversee all aspects of full-cycle payroll for the assigned divisions, ensuring pay is processed on time and in compliance with government regulations.
Essential Functions (Other Duties as Assigned)
Payroll Processing
- Prepare and submit bi-weekly payroll for multiple pay groups as well as off-cycle payrolls; ensuring timely and accurate processing of payroll transactions including wages, overtime, bonuses, commissions, benefits, garnishments, taxes, and other deductions.
- Maintain system for organizing payroll data, changes, updates and employee information for payroll cycles.
- Research and resolve payroll/tax reporting issues for assigned divisions
- Maintain employee confidentiality and protect payroll operations
- Coordinate with HR to ensure accuracy of data in the HRIS/payroll system.
- Create and provide bi-weekly, monthly, annual and ad hoc reporting as needed
- Communication and Vendor Management
- Act as point person for all payroll-related questions and issue resolution for assigned divisions. Assist with more complex items that require extensive payroll knowledge such as taxation, year-end reporting, compliance with federal, state and local regulations and guidelines
- Handle escalated field queries and resolve issues in a timely manner
- Communicate with division controllers and accounting staff and cross functionally with other departments
- Assist with managing payroll vendors
- Works directly with Paycom support to resolve issues and problems that may arise.
- Responsibilities also includes, excellent communication, organizational and problem-solving skills in a fast-paced environment.
Education and Experience
Required:
- Bachelor’s degree in Accounting, Finance, Human Resources, Business Administration. Combination of education, training, and work experience will be considered in lieu of degree.
- 5 years of experience processing hourly payroll for a high volume, high turnover industry.
Knowledge, Skills, and Abilities
- Must demonstrate knowledge of payroll principles, practices, processes and procedures including multi-state laws and regulations that affect payroll
- Customer service-oriented with the ability to meet internal client expectations and process payroll in a very time sensitive manner
- Experience with HRIS and working with 3rd party payroll vendors
- Experience or knowledge of payroll taxes and W2 processing (preferred but not required)
- Experience or knowledge of garnishment review and processing
- Solid understanding of multi-state and federal payroll and employment laws.
- Excellent verbal and written communication skills
- Excellent analytical, organizational, decision-making, problem-solving, team-building, and time management skills
- Ability to prioritize tasks and work on multiple assignments concurrently
- Ability to work under pressure to meet deadlines
Physical Requirements:
- Extended periods of sitting: frequently required to stand and walk.
- The work environment is typical of an office setting. The noise level is usually quiet.
- Occasionally lift and/or move up to 15 pounds.
- Travel requirements less than 10%
