Provides comprehensive management and administration of real estate functions for the organization's portfolio of leased and owned land and facilities. Responsible for creating, tracking, monitoring and reviewing real estate documents, transactions and market conditions necessary to ensure and support the appropriate decision-making aligned with the organization's strategy.

PRIMARY RESPONSIBILITIES

  • Manages assigned portfolio of property leases and associated agreements. Responsible for monitoring, tracking and reviewing operational expenses for optimal performance and compare to benchmarked standards. Assists with improving the organization's overall market position by participating in strategy and business development meetings and providing reports of real estate inventory.
  • Provides periodic reports detailing operating costs for leased and owned properties to appropriate stakeholders and leadership. Negotiates, coordinates supervises and inspects work of contractors and vendors on a variety of projects associated with the assigned portfolio to ensure compliance with plans, specifications, and scope of work. Leads negotiations for real estate transactions relating to new leases, lease renewals, and acquisitions for owned and non-owned property leases, assignment of leases, tenant estoppels, parking agreements, space use agreements, and service agreements.
  • Reviews and abstracts leases and lease provisions maintain lease summaries and commencement agreements to maintain and manage comprehensive property inventories and databases of the organization's real estate portfolio that reflect accurate and current information in order to provide associated stakeholders and leadership with timely information for decision making. Acts as a liaison between landlords, tenants, vendors, Risk Management, Legal, Environmental Safety, Planning Design and Construction, and other support functions and departments. Identifies and participates in process improvement initiatives that enhance workflow and/or improve the execution of real estate transactions.
  • Administers internal real estate tracking systems to cost-effectively manage and improve the productivity of all leased properties (internal and external). Communicates frequently with leadership to notify of critical dates, real estate policies and procedures, and assist with general real estate inquiries. Demonstrates initiative by taking on additional assignments and responsibilities relating to any projects involving real estate.
  • Demonstrates problem-solving skills in a variety of complex situations with competing interests and priorities. Represents the origination as the landlord and tenant in the leasing of owned or leased properties in a fashion that is compliant with corporate responsibility requirements and assures that such activities are consistent with fair market trends and corporate legal requirements. Administers the rights and obligations of the origination on the lease document.
  • Works with finance and accounting departments to ensure the overall operational and financial aspects of the portfolio are properly maintained through property management, preparing and maintaining operating budgets, initiating accounts payable to ensure taxes, insurance, repairs and maintenance bills are paid timely. Handles annual budgeting, monthly projections, quarterly and monthly variance analysis, and cash flow analysis. Enforces lease terms and lead in identifying, billing, and collecting supplemental and overdue charges.
  • Assists with negotiating service contracts such as preventative maintenance, janitorial, landscaping, trash removal, and other services for leased properties. Monitors the performance of contractors in order to provide high quality, effective, and comfortable occupancies to the tenants. Investigates and resolves complaints and/or concerns from tenants. Collaborates with PDC to bid, negotiate, and manage tenant improvement projects. Coordinates all outside real estate brokerage activities to assure that property acquisition, dispositions, lease renewals, and property searches represent the most fiscally responsible solutions and are performed in a fashion that reflects favorably upon the organization.
  • Collaborates with corporate legal counsel to assure that all lease acquisitions, renewals, and new leases are compliant with corporate responsibility guidelines and are initiated with business terms and conditions that effectively support the required patient care delivery or business related occupancy. Collaborates with corporate legal counsel and leadership for proactive resolutions of property matters and ensures all landlord default claims are resolved within the cure period and documents are properly recorded.
  • Conduct audits of year-end common area maintenance (CAM), insurance, and real estate tax reconciliations. Review invoices in conjunction with lease requirements and ensure back-up documentation is in place and all calculations are correct. Prepares periodic billing reports for finance for all leases, space use agreements, service agreements, utilities, and parking agreements of all owned or leased properties. Resolves payment discrepancies by sending out delinquent notices, if necessary, and tenant improvement allowance release letters.
  • Attends seminars, industry meeting and related organizations to stay current with real estate issues that affect local markets and the real estate industry.
  • Performs other duties as assigned.

  • Bachelor's degree

  • Five years' experience

  • Frequent lifting/carrying and pushing/pulling objects weighing 0-25 lbs.
  • Frequent sitting, standing, walking, reaching and repetitive foot/leg and hand/arm movements.
  • Frequent use of vision and depth perception for distances near (20 inches or less) and far (20 feet or more) and to identify and distinguish colors.
  • Frequent use of hearing and speech to share information through oral communication. Ability to hear alarms, malfunctioning machinery, etc.
  • Frequent keyboard use/data entry.
  • Occasional bending, stooping, kneeling, squatting, twisting and gripping.
  • Occasional lifting/carrying and pushing/pulling objects weighing 25-50 lbs.
  • Rare climbing.
