Responsibilities
The following duties are typical of the position, but are not all encompassing. Responsibilities include those required to deliver quality service on schedule and within budget in a team environment.
1. Performs various administrative tasks requiring a thorough knowledge of office routine and understanding of the organization, programs, and procedures.
2. Handles proprietary information in a confidential manner at all times.
3. Maintain archive records and databases in accordance with corporate procedures.
4. May assist to other administrative areas in tasks related with the office administration.
5. Assigned to the front desk reception and provide backup
assistance to the team; welcoming to visitors or clients, extend professional
first and last impressions.
6. May support the travel team by scheduling of rental cars and
reconciliation of rental invoices where applicable.
7. May supervise facilities maintenance and services providers.
8. May train other staff in use of cards access.
9 Additional duties may be assigned based on business need which may include arranging travel, database and record management, or planning company events.
10. Valid driver's license required. May be waived for international assignments.
Qualifications
1. Able to work independently with minimal detailed supervision.
2. Excellent prioritization and organizational skills and demonstrated attention to detail.
3. Knowledge of office management systems, equipment, and procedures.
4. Excellent written and verbal communication skills in English and Spanish
5. Ability to communicate effectively across all levels of the organization.
6. Proficient in Microsoft Office Suite (Word, Excel PowerPoint, etc.)
7. Ability to maintain the confidentiality of sensitive and confidential information.
8. Technical High school diploma or bachelor degree.
9. Minimum one to two years (1-2) years of experience in an office environment.
