Job Description:
The Medical Office Specialist will be responsible for filing and maintaining all Lifeline charts and medical records. Duties include scanning of medical charts into SMART for electronic filing; handling of specific requests for medical records from outside providers and businesses; responding to specific requests from providers and handling of general correspondence. Specific Responsibilities
- Office Specialist will greet clients/visitors and assists them as needed
- File in Medical Records, including scanning of charts into SMART for electronic filing.
- Office Specialist file patient related reports, correspondence and medical information accurately into SMART
- Files and pulls medical records. Performs QA on discharge charts.
- Office Specialist ensure accountability of patient charts in the record room.
- Respond to specific requests for medical records from outside agencies and businesses.
- Organize and distribute and scan all mail correspondence.
- Secure medical record room when unattended.
- Ensure compliance with HIPAA & 42 CFR regulations where applicable.
- Maintain strict confidentiality with respect to medical information.
- Assists in check-in of patients by verifying patient information (address, telephone, and insurance status). Runs pertinent POS tape to verify insurance; contacts insurance plan. Places copies of insurance cards in medical record. Refers uninsured patients to Lifeline Financial Specialist processing.
- Locks cash box, shuts down all computer workstations, front doors, and windows at end of shift when necessary.
- Collect client payments and process required reports to Account Receivable.
- Collects client information and enters into SMART.
- Provides back up for expediter by facilitating client admission onto the Lifeline program and making a smooth transition to medical and clinical staff.
- Answers telephones, directs calls or assists caller as necessary.
- Responds to emergency situations by alerting the appropriate staff.
- Other duties as required.
Experience and Skills:
Office Specialist Qualifications
- Knowledge of medical records management in a clinical setting.
- Understanding of patient confidentiality requirements in medical setting.
- Ability to file accurately and efficiently.
- Strong organizational skills and familiarity with computers.
- Good oral and written communication skills.
- Minimum of a High School Diploma; courses in medical records technology preferred.
- Bilingual skills preferred.
