POSITION OVERVIEW: The Workers' Compensation Coordinator at St. Charles Health System (SCHS) is responsible for coordinating and managing SCHS’ workers' compensation program system-wide and providing crucial support to various internal and external stakeholders related to the program. The Workers' Compensation Coordinator plays a critical role in establishing workers compensation procedures, and facilitating decisions that balance support for the caregiver as well as cost-effectiveness for the health system. This position reports to the Supervisor of Caregiver Health and will work with the Caregiver Health Nurses and the Injury Prevention Coordinator as well as Leave Team in Human Resources. This position does not directly manage any other caregivers. ESSENTIAL FUNCTIONS AND DUTIES: Responsible for the oversight and day-to-day management of the St. Charles Health System workers' compensation program, serving as liaison between the health system’s injured workers, worker’s compensation insurance carrier (SAIF), providers, and health system department leadership. Attends claims reviews with SAIF and coordinates the internal claims review weekly for internal stakeholders. Ensures health system compliance with Federal/State OSHA record-keeping regulations and standards by independently completing/ maintaining monthly OSHA 300 logs, yearly OSHA 300A logs, and annual Survey of Occupational Injuries and Illnesses for each campus location. Independently designs and conducts work comp training presentations to SCHS supervisors upon request, via in-person, or online training sessions. Identifies trends in the workers’ compensation process and recommends strategies to enhance results and mitigate loss. Manages Employer-at-Injury Program (EAIP) reimbursement and equipment requests for submission. Ensures data is submitted timely and reimbursements are properly tracked. Actively works with the Injury Prevention Coordinator to identify potential EAIP funded opportunities for worksite modification and equipment. Partners with departments and caregivers to develop transitional return to work plans when appropriate, customizing and adjusting hours and tasks, as needed, based on the physician’s restrictions. Audits and requests appropriate changes to bi-weekly payroll to ensure injured workers are compensated according to company policies and legal requirements. May perform additional duties of similar complexity within the organization, as required or assigned. EDUCATION: Required: High school diploma or equivalent. Preferred: Bachelor’s degree in related field. LICENSURE/CERTIFICATION/REGISTRATION: Required: N/A Preferred: Certified Workers Compensation Claims Adjuster or SHRM Certified Professional. EXPERIENCE: Required: Minimum one (1) year in workers’ compensation, Caregiver Health, or Human Resources. Preferred: One (1) year in workers’ compensation in Oregon. PERSONAL PROTECTIVE EQUIPMENT: Must be able to wear appropriate Personal Protective Equipment (PPE) required to perform the job safely. ADDITIONAL POSITION INFORMATION: Proficiency in Microsoft Office programs, including Excel, Word, Outlook, and PowerPoint. Experience with Occupational Health Manager (OHM) desired. Excellent communication skills with a variety of audiences at all levels. Timely and accurate communication via telephone and email. Detail oriented and able to work in a fast-paced environment.
