JOB DESCRIPTIONPosition Title: Executive Assistant

Reports to: CEO
Primary Purpose and Function
A skilled professional who provides a wide range of administrative services for the CEO while exercising discretion, confidentiality, and independent judgment. In addition, this position oversees the Association’s Commercial Division. This individual must be knowledgeable of all association activities, as well as Association policies, procedures and operations.
Key Responsibilities
Serve as staff liaison to Board of Directors, the Housing Foundation, and the Bylaws Committees. This includes the formulation of meeting agendas, sending meeting notices, and preparing meeting minutes, as well as general support to the committee.
Oversee the Commercial Division and serve as staff liaison to the Commercial Board of Directors; coordinate all Commercial Division activities including the monthly events hosted by the Division.
Maintain the master calendar of Association events and meetings.
Manage the facilities, including services, equipment, supplies, and rental of the classroom.
Serve as the member database administrator for the office.
Handle meeting and travel arrangements for the CEO and Officers, as well as other special projects or duties assigned by the CEO.
Prepare annual budget for travel and staff development.
Assist, as needed, in member servicing and support in all aspects of the Association's operations.
Open, sort, and distribute incoming correspondence.
Qualifications
- Associate’s Degree or 5 or more years relevant administrative experience
- Proficient in technology, computer programs and social media
- Excellent people skills
- Flexible and able to multitask
- Excellent written and verbal communication skills
- Attention to detail and extremely organized
- Exceptional customer service and support skills
- A good team player
Work Environment and Physical Demands
- Ability to walk, stand, and sit (including on the floor) for long periods of time
- Must be able to lift and carry supplies weighing up to 20 pounds
- Ability to stand or sit while maintaining alertness for several hours at a time
- Position may require bending, leaning, kneeling, and walking
- Ability to speak concisely and effectively communicate
- Visual and auditory ability to respond to critical situations and physical ability to act swiftly in an emergency
- Ability to view/enter data for long periods of time
Job Type: Full-time
Pay: $38,000.00 - $42,000.00 per year
